Job Description

Looking for Operations Administrator

Responsibilities:

1. Financial Administration

.Prepare payment transfers to contractors and suppliers

.Issue invoices and payment schedules to clients

.Monitor accounts receivable and payment collection

.Liaise with accountant for bookkeeping and financial reporting

2. Project Administration

.Prepare and organise project documentation

.Maintain client purchase checklist and material records

3. Regulatory & Compliance Administration

.Apply for HDB renovation permits

.Ensure site compliance documents are prepared

4. Contractor & Supplier Coordination

.Prepare contractor payment summaries

.Maintain contractor pricing lists and supplier contacts

5. Office & Operational Administration

.Prepare standard company documents and templates

.Assist in appointment scheduling and meeting coordination

.Maintain office supplies and operational needs

6. Communication & Stakeholder Coordination

.Act as a point of contact between internal teams, contractors, and clients

.Ensure timely and clear communication of project progress, issues, and changes to all relevant parties

Skills:

1. Maintain company Profit & Loss tracking (P&L), track project budgets and contractor costs

2. Track Variation Orders (VO) and additional works. Compile handover documents and Defects Liability Period records

3. Maintain CaseTrust accreditation documentation

4. Liasing with different stakeholders and vendors to ensure smooth coordination

5 .Maintain company filing systems and document records. Manage company WhatsApp / communication channels

6. Prepare meeting minutes, reports, and correspondence. Ensure clear communication across all project stakeholders

(6 Months period)
