Job Description
The Operations Manager is responsible for overseeing the critical operational functions of the hospital, including linen and laundry services, food services, bed management, claims management, and project management. This role ensures that all services run efficiently and effectively to support exceptional patient experience while adhering to healthcare regulations and the Personal Data Protection Act (PDPA).
Key Responsibilities
- Linen and Laundry Management: Oversee linen services to ensure timely processing, distribution, and cost-effective inventory management.
- Food Services: Collaborate with food service teams to develop menus, ensure compliance with dietary and food safety standards, and enhance patient satisfaction.
- Bed Management: Coordinate with nursing and admissions staff to manage occupancy, reduce wait times, and optimise bed turnover.
- Claims Management: Supervise claims processing, ensure timely submissions, resolve issues, and analyse claims data to identify improvements.
- Hospital Inspection: Conduct inspections and audits for compliance, prepare for external accreditation and regulatory checks.
- Project Management: Lead cross-functional projects to enhance operational efficiency and service delivery, managing plans, timelines, and budgets.
- PDPA Compliance: Ensure operational practices protect patient data, conduct audits, and train staff on data protection policies.
- Management Meetings: Provide secretariat support, ensure documentation, and facilitate follow-ups on operational initiatives.
- Collaboration with Multi-Disciplinary Teams: Work with clinical and administrative teams to address operational challenges and improve patient care.
- Procurement & Vendor Management: Oversee procurement, evaluate and negotiate contracts, and manage vendor relationships for cost-effective service delivery.
- Staff Management: Recruit, train, and develop staff conduct performance reviews and promote professional growth.
- Budgeting & Financial Management: Develop and manage operational budgets, monitor expenditures, implement cost-control measures, and apply data analytics for performance improvements.
- Communication & Feedback: Engage with staff and patients to address feedback and enhance service delivery.
- Take on additional responsibilities as required, including expansion of services and new projects.
Requirements
- Bachelor's degree or equivalent qualification in Healthcare Administration or related field.
- Minimum 5 years of experience in healthcare operations management (linen/laundry, food services, patient management, etc.).
- Strong leadership, interpersonal, and communication skills.
- Proficiency in project management and financial analysis.
- Knowledge of PDPA and healthcare regulations.
- Ability to work in a fast-paced hospital setting with flexibility in working hours.
