Duties and Responsibilities
- Prepare and monitor employment contracts, pre-employment medical check-ups and submission of security screening details to governmental agencies.
- Facilitate new hires on-boarding orientation and conduct periodic check-in sessions.
- Create new hire records such as Staff Personnel Files and profile creation via the HR system.
- Process new hire and employees staff passes, name stamps and name cards.
- Monitor the probationary period of new hires and obtain confirmation recommendation letters from respective supervisors for management approval.
- Conduct the off-boarding process, including exit interviews, handover, final settlement of last drawn salary and archiving of staff personnel file documents.
- Coordinate career fairs and roadshow campaigns, and network with agencies and organisations recruitment opportunities.
- Administer foreign worker matters, including liaising with recruitment agencies on foreign worker manpower needs for the organisation.
- Manage work permit applications and renewals.
- Coordinate the submission of 6-monthly medical examinations (6ME) and repatriation matters.
- Liaise with government agencies (e.g. MOM/HDB) concerning Other Converted Living Quarters (OCLQ).
- Support the payroll administration process, including collation and verification of payroll input data (new hires, resignations, leave and claims).
- Regularly update employment records via the HR system.
- Handle employee and department enquiries pertaining to employment matters, policies and procedures.
- Assist the HOD or assigned HR staff with employee grievances matters as and when required.
- Provide administrative support to the department, including filing, record-keeping and correspondence.
- Prepare procurement documentations for payments for HR related projects and activities
- Support the coordination and administration of employees medical coverage and training matters.
Candidate Requirements
- O levels/Higher NITEC/ Diploma qualifications or in a related field.
- Minimum 1-2 years of relevant experience in HR & Admin.
- Familiar with HR/payroll systems and Microsoft Office applications.
- Meticulous, well-organised, with strong administrative and coordination skills.
- Good interpersonal and communication skills, with the ability to handle confidential information with discretion.
- Able to work independently and multi-task in a fast-paced environment.
