Job Summary
We are seeking a proactive Office Operations Executive to coordinate administrative, finance, HR, and project support functions, ensuring seamless daily operations within a dynamic IT services environment.
Responsibilities
- Manage daily office operations to maintain an organized and efficient workplace
- Handle correspondence, documentation, and filing systems both digitally and physically
- Coordinate meetings, manage calendars, and facilitate internal communications
- Assist project teams by preparing documentation, scheduling activities, and coordinating resources
- Track project progress and maintain accurate operational records to support project delivery
- Support staff and client onboarding and offboarding processes to ensure smooth transitions
- Assist in preparing invoices, quotations, and tracking expenses for finance operations
- Liaise with vendors and suppliers to fulfill procurement requirements efficiently
- Maintain basic financial records in coordination with external accountants
- Coordinate recruitment activities including interview scheduling and onboarding support
- Maintain employee records and manage HR documentation accurately
- Support internal engagement initiatives and coordinate training sessions
- Serve as a primary contact for general inquiries to facilitate communication flow
- Coordinate administrative matters with clients and partners to support business relationships
Required competencies and certifications
- Diploma or Degree in Business Administration, Management, or related field
- 1-3 years of experience in administrative or operations roles
- Strong organizational and multitasking skills demonstrated through managing office operations and project support
- Effective written and verbal communication skills for internal and external interactions
- Proficiency in Microsoft 365 applications including Outlook, Excel, Word, and Teams
Preferred competencies and qualifications
- Experience working in IT services, SaaS, or Microsoft technology environments
- Familiarity with SharePoint, Power Apps, or CRM systems to support digital workflows
- Basic knowledge of finance and administrative processes to assist operational tasks
- Experience supporting project teams or technical departments to enhance coordination
