About the Role
We are seeking a highly skilled Office Manager to drive the seamless coordination of administrative duties and localized financial support for our Singapore office. In this role, you will be a key contributor to our Finance & Admin team, taking ownership of day-to-day office maintenance and basic financial record-keeping to fuel our continued growth. You will collaborate with regional teams to facilitate smooth office operations, and ensure compliance with local Singaporean administrative standards.
Key Responsibilities
- Oversee day-to-day office administration and supplies procurement to ensure a productive working environment for the Singapore team.
- Execute basic bookkeeping and petty cash management by delivering accurate monthly expense reports to meet Finance requirements.
- Liaise with external corporate secretarial and tax services to support timely ACRA and IRAS filings.
- Process local vendor payments and employee reimbursements to ensure timely settlement of office obligations.
- Maintain organized filing systems and corporate documentation to guarantee data accuracy and ease of retrieval.
- Coordinate with building management and local service providers to ensure facility maintenance and office security.
- Assist in basic HR administrative tasks, including onboarding logistics and maintaining local employee records.
- Monitor office utility usage and administrative expenses to minimize waste and ensure cost-efficiency.
- Handle incoming correspondence and local banking runs to ensure uninterrupted business operations.
Required Qualifications, Capabilities, and Skills
- Bachelor's degree in Accounting, Finance, Business Administration, or a related discipline.
- Minimum 3 years of experience in office management or corporate services, with a strong focus on localized finance/accounting functions in Singapore.
- Apply a meticulous and control-oriented mindset to ensure the accuracy of financial data and regulatory filings.
- Leverage excellent communication skills to develop strong working relationships with both internal stakeholders and external local authorities.
- Solid understanding of Singapore's Companies Act, Employment Act, and local tax (GST/Corporate Tax) regulations.
- Capability to work independently in a fast-paced, lean environment with a high degree of integrity and accountability.
Preferred Qualifications, Capabilities, and Skills
- Prior experience working in the Fintech, Digital Assets, or Investment Management industry within the Singapore market.
- Specific experience regarding 0-to-1 setup of a local office entity or obtaining local financial service exemptions/licenses.
- Native or professional proficiency in English and Mandarin to bridge communication between the Singapore office and regional headquarters.
- Proven track record in managing cross-border payments and multi-currency expense reconciliations.
