The Senior Administrator provides comprehensive administrative support across office management, human resources, and finance functions. This role ensures smooth day-to-day operations by coordinating office activities, managing HR administrative processes, and supporting financial transactions related to payments. The position requires strong organizational skills, attention to detail, and the ability to work discreetly with confidential information while supporting leadership and staff.
Office Administration
- Oversee general office operations, including supplies management, vendor coordination and facility needs, ensuring a well-coordinated working environment
- Act as the primary point of contact for office-related inquiries and ensure a well-organised and efficient work environment
- Manage correspondence, scheduling and document filing (both physical and digital)
- Manage travel arrangements, including flights, accommodation, visas and transport
- Coordinate company events, offsites and meetings as needed
- Provide administrative assistant to Management, including calendar management, meeting coordination and travel arrangements
- Troubleshoot minor IT issues and ensure timely resolution of technical support requests
- Handle sensitive information with discretion and professionalism
HR Administration
- Support recruitment processes, including scheduling interviews and preparing documentation
- Assist with onboarding and offboarding processes, including paperwork and exit formalities.
- Coordinate training sessions and HR related communications
- Ensure compliance with company policies in HR documentation (e.g. claims administration, travel policies alignment)
Finance Administration (Payments)
- Support financial administration by managing vendor invoices, expense reports and office and travel budget tracking
- Prepare payment instructions for review and approval and monitor payment status to ensure timely settlement
