Role: Office Assistant
Location: Singapore
Key Responsibilities
• Lead and oversee day-to-day office operations, ensuring a professional and efficient workplace environment.
• Manage all front-of-house responsibilities, including visitors, meeting rooms, vendors, facilities maintenance, couriers, deliveries, cleaners, and pantry services.
• Coordinate employee onboarding and offboarding, including office access, workstation setup, and equipment allocation.
• Organise company events and corporate functions.
• Assist in the preparation of investor relations materials, presentation decks, meeting packs, and due diligence documentation.
• Coordinate investor meetings, roadshows, conferences, and stakeholder events, ensuring logistics and materials are well prepared.
• Provide administrative support to senior management, including calendar coordination, travel arrangements, visa applications, expense claims, and reimbursement submissions via Concur, and meeting coordination.
• Prepare meeting materials and support ad-hoc projects across Operations, Investor Relations, HR, and Management teams.
• Maintain office records, databases, and internal administrative systems.
Qualifications & Requirements
• Diploma or Degree qualification.
• Minimum 5 years of relevant experience in office management, administration, executive support, or workplace operations, preferably within financial services, asset management, banking, private equity, hedge funds, or family offices.
• Experience supporting senior management and handling travel logistics, scheduling, and expense management.
• Strong organisational, communication, and stakeholder management skills.
• Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook); experience with Concur or similar expense management systems is advantageous.
• Professional, presentable, and service-oriented with strong interpersonal skills.
• Proactive, hands-on, and able to work independently in a fast-paced environment.
• Meticulous, highly organised, and detail-oriented with the ability to manage multiple priorities effectively.
• Mature, dependable, and capable of exercising sound judgement when handling confidential information and sensitive matters.
