ABOUT THE ROLE

We are looking for a motivated and detail-oriented Office Assistant to join our team. This is a ground-up role designed for someone who is eager to learn and grow, and who is willing to be developed into awell-rounded finance and administration professional over time. You will work closely with and be mentored by senior management, gaining broad exposure across multiple business entities and industries.

KEY RESPONSIBILITIES

Day-to-Day

. Provide general administrative and operational support across group entities

. Handle correspondence, scheduling, and coordination across departments

. Assist with data entry, filing, and maintaining accurate and organised records

. Assist the finance team with basic bookkeeping, AR/AP tracking, debtor listings, and invoice generation

. Support the finance team in the preparation of financial documentation and reports as directed

. Take on ad-hoc duties as assigned

Supply Chain & Documentation Support

. Prepare and verify import/export documents including bills of lading, invoices, packing lists, and certificates of origin

. Ensure compliance with customs regulations and internal company policies

. Coordinate with freight forwarders, customs brokers, suppliers, and customers on shipment documentation and status updates, including via platforms such as WeChat

. Maintain accurate and organised records of all import/export documentation, both electronic and physical

. Proactively identify and resolve documentation issues including errors, omissions, and delays

WHAT WE'RE LOOKING FOR

. Fresh graduates are welcome - no prior experience required

. A genuine willingness to learn, grow, and be developed into a well-rounded professional

. Strong attention to detail with a careful and thorough approach to all tasks

. Organised, process-driven, and able to manage multiple tasks effectively

. Able to work independently and perform effectively under pressure

. Self-motivated with a positive, cheerful attitude and strong team spirit

. Good verbal and written communication skills in English proficiency in Mandarin is required for this role, as the position involves direct communication with Chinese-speaking suppliers and freight partners

. Meticulous, reliable, and takes initiative without being asked
