We are looking for an Office and Facilities Administrator who will oversee the efficient operation of the Singapore office's administrative functions and physical facilities.

The role involves diverse daily responsibilities including office maintenance, general administration, visitor experience management, delivery coordination, and support for internal team meetings and wellbeing activities together with HR.

You will handle operational compliance by coordinating building emergency response, crisis response, and facility management across Singapore offices.

This role is 1 year contract on 3 days work week (Mon, Wed and Fri) and based in Singapore.

Key responsibilities will include:

Office / Facilities Management

  • Maintain a safe and professional office environment ensuring on-brand experiences for customers, employees, and visitors
  • Managing day-to-day operations including office facility and equipment maintenance, office and pantry supplies, courier coordination
  • Strategically manage office budgets, vendor contracts, and relationships ensuring cost-effectiveness and quality service. (i.e. cleaning services/ insurances/ parking)
  • Streamline office operations through efficient systems, organized filing, and effective supply management
  • Spearhead continuous improvement initiatives by gathering stakeholder feedback and digitizing procedures where applicable.
  • Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts and office systems
  • Collaborate with HR on streamlined onboarding/offboarding processes (welcome kits, access management, business cards)
  • Address additional office and operational matters as they arise

Administrative Support

  • General office administration support including but not limited to:
  • Strategic procurement of office supplies and stationery
  • Development and maintenance of efficient operational checklists
  • Management of office-related invoice processing
  • Logistics coordination for internal events, including catering arrangements
  • Craft effective internal communications for office

Compliance & Safety

  • Ensure compliance with workplace safety regulations and local requirements
  • Monitor and implement legal requirements, including first aid certification programs
  • If required, collaborate with leadership on:
  • Emergency response and crisis management protocols
  • Business continuity planning and implementation

Experience, Personal Skills and Knowledge

  • At least 5 years of experience working in a similar role
  • Independent and mature, with strong judgment and decision-making abilities
  • High level of integrity, self-initiative, self-motivation and customer orientation
  • Ability to work independently and as part of a team.
  • Good communication and interpersonal skills.
  • English proficiency is essential for both verbal and written communication.
