Job Summary
We are looking for a proactive and detail-oriented Office Administrator & Staff Onboarding Coordinator to support daily office operations and employee onboarding activities. This role will ensure smooth administrative processes and assist in coordinating onboarding procedures for new hires, particularly for warehouse and operations staff. The ideal candidate should be organized, hands-on, and able to work in a fast-paced environment.
Key Responsibilities
1. Office Administration
- Manage daily office administrative tasks including documentation, filing, and record management.
- Coordinate office supplies, equipment, and general office maintenance.
- Assist in handling courier arrangements, deliveries, and vendor coordination.
- Support internal communication and coordination between departments.
- Maintain and update administrative records and reports.
2. Staff Onboarding & HR Support
- Coordinate new employee onboarding process, including preparation of employment documents and onboarding materials.
- Arrange onboarding schedules, orientation sessions, and introduction to departments.
- Assist with work pass documentation and employee information collection for foreign workers.
- Ensure all required documents (NRIC, work pass, bank details, etc.) are collected and properly filed.
- Update employee records in HR systems and maintain personnel files.
3. Administrative & Reporting Support
- Maintain onboarding tracker and employee records.
- Assist in preparing HR reports and administrative documentation.
- Support other ad-hoc administrative duties assigned by management.
Requirements
- Diploma or Degree in Business Administration, HR, or related field.
- Minimum 13 years of experience in administration, HR admin, or office support roles.
- Experience supporting staff onboarding or HR administrative functions is an advantage.
- Good organizational and coordination skills.
- Proficient in Microsoft Office (Excel, Word, Outlook).
- Able to work in a fast-paced environment and manage multiple tasks.
- Good communication skills in English; Mandarin is an advantage for liaising with Chinese-speaking staff,
