This is a ONE YEAR CONTRACT position in a bank.
- Support the Department Head in overseeing daily office administration and facilities operations within the bank.
- Manage front desk and reception duties, including handling visitors, incoming/outgoing mail, courier services, and meeting room readiness.
- Maintain cleanliness and presentation of reception, meeting rooms, pantry, and common office areas.
- Coordinate staff onboarding and offboarding activities, including desk setup, stationery, access arrangements, and name card printing.
- Handle PDPA-related documentation collection for staff, vendors, and third parties.
- Monitor and replenish office supplies, pantry items, stationery, and printing materials.
- Coordinate printing requirements such as company letterheads, envelopes, and name cards.
- Process, verify, and maintain filing of invoices, contracts, and administrative records.
- Liaise with landlords, contractors, and vendors on facilities maintenance, repairs, renewals, quotations, and operational issues.
- Manage security administration, including access card control, surveillance monitoring, visitor entry systems, and monthly security reporting.
- Oversee office facilities compliance matters, including fire safety equipment checks and premises security coordination.
- Track departmental budgets (OPEX, CAPEX, welfare spending) to ensure cost control and budget adherence.
- Maintain office administration records such as fixed asset inventory, seating plans, staff listings, key control logs, memo tracking, and contract storage.
- Coordinate corporate services including car rental renewals, season parking, insurance renewals, hotel arrangements, and offsite document storage.
- Support staff engagement and welfare initiatives, including company events, festive activities, team-building events, webinars, and employee appreciation arrangements.
