Job Description

  • Manage office maintenance and upkeep by coordinating equipment, furniture, fittings, and maintenance schedules to ensure a functional work environment
  • Oversee office and pantry supplies by sourcing, purchasing, and maintaining inventory to support daily operations
  • Support the CEO's personal administrative matters including vehicle maintenance and insurance renewals to facilitate smooth executive functioning
  • Perform receptionist duties by receiving, sending, and tracking correspondence and items to maintain effective communication flow
  • Conduct market research to identify and recommend new technology and software solutions that enhance company operations
  • Execute simple bookkeeping tasks and handle financial transactions such as invoice processing, payments, and receipts to maintain accurate financial records
  • Monitor cash flow by reviewing bank and trading statements to ensure financial stability and timely reporting
  • Liaise with accounting firms to review monthly reports and verify prepared accounts for accuracy and compliance
  • Coordinate with the company secretary on corporate secretarial matters to ensure regulatory adherence
  • Adapt to and complete other ad-hoc tasks as assigned to support organizational needs

Required competencies and certifications

  • Proven ability to handle confidential information with discretion and maintain the highest level of service and responsiveness
  • Proficiency in MS Office applications (Outlook, Word, Excel, PowerPoint) and demonstrated technology savviness
  • Strong multitasking skills with a high sense of urgency and adaptability to a loosely structured environment

Preferred competencies and qualifications

  • Diploma or Degree with relevant experience
  • At least 5 years of experience in fast-paced administration, customer service, or family office environments
  • Meticulous work approach with eagerness to learn and a positive working attitude

  • Office location: Lower Delta/Tiong Bahru
  • Working hours: Monday to Friday, 9:30am - 6:30pm
