Role Overview

The Office Administration Manager will be responsible for managing day-to-day office operations, supporting internal teams, and ensuring smooth administrative processes across the organization. This role requires strong organizational skills, attention to detail, and the ability to coordinate with multiple stakeholders to maintain efficient workplace operations.

Key Responsibilities

Office Operations

  • Oversee daily office operations to ensure a well-organized and efficient workplace.

  • Manage office facilities, supplies, equipment, and vendor relationships.

  • Coordinate office maintenance, repairs, and workspace management.

  • Ensure compliance with workplace policies, health and safety regulations.

Administrative Management

  • Develop and implement administrative policies and procedures to improve operational efficiency.

  • Manage office budgets, track expenses, and support cost control initiatives.

  • Maintain office documentation, contracts, and administrative records.

Vendor & Stakeholder Coordination

  • Manage relationships with external vendors including office services, facility providers, and equipment suppliers.

  • Negotiate service agreements and monitor vendor performance.

  • Coordinate with internal teams such as HR, Finance, and IT to support operational needs.

Employee & Workplace Support

  • Support onboarding logistics for new employees including workspace setup and office orientation.

  • Assist in organizing internal events, meetings, and company activities.

  • Maintain a positive, organized, and collaborative office environment.

Process Improvement

  • Identify opportunities to improve office workflows and administrative systems.

  • Support implementation of tools or systems that enhance office efficiency.

Requirements

  • 5+ years of experience in office administration, facilities management, or operations.

  • Strong organizational and time management skills.

  • Excellent communication and interpersonal skills.

  • Experience managing vendors and office budgets.

  • Ability to work independently and manage multiple priorities in a fast-paced environment.

  • Proficiency in Microsoft Office or Google Workspace.

Preferred Qualifications

  • Experience working in a technology or startup environment.

  • Experience managing regional or multi-office operations.

  • Familiarity with workplace management tools or office management systems.
