Job Summary
Manage and control project documentation throughout the newbuilding lifecycle to ensure accuracy, version control, and timely distribution, supporting seamless communication and successful project delivery.
Responsibilities
- Lead the collection, organization, and archiving of all project documentation to maintain comprehensive records throughout the newbuilding lifecycle
- Ensure document accuracy, enforce version control, and distribute documents promptly to relevant stakeholders
- Maintain and update the project's document management system (e.g., shared drive, SharePoint) to support efficient access and retrieval
- Extract data and compile reports to assist project teams in monitoring progress and decision-making
- Track and manage the document change control process to maintain document integrity and compliance
- Facilitate clear and efficient document-driven communication between internal teams and external parties to support project coordination
- Prepare and deliver the final as-built documentation package to the ship owner, ensuring completeness and accuracy
- Execute additional tasks assigned by leadership to support project objectives
Preferred competencies and qualifications
- College diploma or above, Secretarial Studies, or a related field, with over 3 years of secretarial or document control experience
- Prior experience in shipbuilding document control is highly preferred.
- Advanced proficiency in computer office software (e.g., Microsoft Office Suite) to enable efficient document handling and reporting
- Strong command of English with excellent written and verbal communication skills
- Meticulous attention to detail combined with exceptional organizational and time-management abilities
- Ability to work effectively under pressure in a fast-paced project environment
