Job Summary
We are seeking a Merchandiser with strong organizational skills, detail-oriented, and analytical thinking to join our team. The Merchandiser will conduct brand buying duties and ensure timely and accurate follow-up after the buy and working closely with the retail to achieve budget sales and sell through. Other main scope includes data entry for purchase order, generating analytical reports, timely delivery of stocks to the stores, follow up with suppliers on stock issue and to provide necessary clerical and administrative support.
Job Responsibilities
Budgeting & Buying
- Planning of financial buy budgets with the Merchandising Manager / Retail Operations Manager per season according to the projected sales targets, sell through and unit level by product category and supplier.
- Plan size scales and provide option prior to buy.
- Together with Merchandising Manager / Retail Operations Manager, select and quantify the buy in principal office and retain accurate records.
- Set retail prices per product to achieve budgeted margin.
- Ensure the Purchase Order is accurate and timely for each season.
- Communicate closely with warehouse to supply stock to the shop floor and ensure various categories of product are delivered together especially the crucial units for each season.
- Identify suitable lifestyle and fashion products for the different Brands.
Brand Analysis
- Monitor weekly stock levels by category and product to identify the fast / slow moving items and work with the Merchandising Manager / Retail Operations Manager / Store Manager on action plan such as price changes / re-merchandising / cancellations or re-orders.
- Work with Merchandising Manager / Retail Operations Manager / Store Manager to work out the weekly targets of various product categories to achieve the budgeted sales and sell-through.
Sales Reports
- To collect weekly and monthly reports from outlets in order to update weekly sales report.
- To provide sales analysis and reports to principal suppliers.
- To provide necessary sales analysis reports for buying trips and retail comparison purposes.
Product Training
- Conduct comprehensive Product Knowledge training to all sales staff via range presentation and visual records of each season.
Purchase Orders
- Gather orders from regional teams and suppliers
- Prepare PO documentation, ensuring accuracy of product info, quantities, pricing, terms, and delivery dates
- Obtain necessary approvals and issue POs to suppliers in the regional scope
- Track PO status and communicate updates to management
Create SOs for regional countries
- Translate customer sales orders into official SOs aligned with regional order
- Verify customer details, pricing, discounts, taxes, and delivery commitments
- Monitor SO lifecycle from creation to fulfillment
Liaise with Logistics Team for invoicing/receiving
- Communicate invoicing requirements between regional operations and the warehouse/central invoicing team
- Ensure accurate and timely generation of invoices based on executed POs/SOs and shipments
- Resolve discrepancies (pricing, taxes, quantities) with WH and regional teams
- Support month-end closing and audit readiness with proper documentation.
General Duties
- Assists in stock take for shop and warehouse, when required.
- During sale, assist in stock analysis, determine markdown, documentation to transfer stock, assist in set-up and pack-up and operation of the sale.
- During end-of-season sale to assist at outlets.
- To ensure all P/F invoices correspond with original order and liaise with Accounts for necessary payment.
- To liaise with warehouse to control excess stock / short shipments and alert suppliers / outlet accordingly.
- To handle all store complaints regarding stocks received – workmanship, customer returns etc.
Job Requirements
- Degree/Diploma in Business, Fashion Merchandising, Data Analytics, or equivalent
- At least 3 years experience as a Merchandiser or a similar role within the fashion, apparel, or retail industry.
- Proficient in data management and Microsoft excel.
- Detail-oriented with a focus on accuracy and quality in data reporting.
- Strong in problem solving and forecasting skills.
- Ability to present complex data insights clearly and concisely to stakeholders.
