Job Description

Administrative Support - 50%

  • Provide comprehensive administrative and sales support to the Service Sales Team, including preparing quotations, contracts, reports, presentations, and official correspondence.

  • Organize and manage meeting arrangements with internal and external stakeholders, including travel arrangements, visa applications, and site access permits.

  • Prepare meeting agendas, document minutes, and follow up on action items to ensure timely completion.

  • Maintain accurate document control and retrieval systems to ensure data integrity and compliance with internal standards.

  • Generate purchase orders, manage invoicing through internal platforms (e.g., Intramart), and monitor payment statuses for customers and suppliers.

  • Coordinate shipping documentation such as bills of lading, shipping marks, and ensure compliance with shipping requirements.

  • Support ad-hoc tasks and cross-functional projects related to service sales and material control.

  • Maintain accurate and updated records of customer information, sales activities, and spare parts usage for reporting, including sales forecasts and monthly performance reports.

  • Ensure the timely preparation and submission of periodic reports and relevant documentation.

  • Liaise and coordinate effectively with customers to support operational and administrative matters.

Material Controller and Site Coordination - 50%

  • Oversee inventory control and material management of spare parts and components for power plant equipment.

  • Conduct and witness incoming inspections, ensuring proper handling, labeling, and storage at designated warehouses.

  • Coordinate pre-packing activities on-site and prepare logistics and shipping documentation in collaboration with internal teams and logistics partners.

  • Expedite parts readiness by coordinating with relevant departments to support both scheduled and urgent maintenance activities.

  • Assist maintenance operations by inspecting disassembled parts for wear or damage, and collaborate with supervisors on corrective actions, including the arrangement of technical advisors and remedial work.

  • Work with planning teams on maintenance schedules, manpower allocation, tools and consumables preparation, and procedural documentation.

  • Manage site-related administrative tasks such as transportation logistics, document management, procurement coordination, and contractor support.

  • Provide on-site administrative support during planned and unplanned outages or maintenance events.

  • Stay updated on customer requirements and after-sales support needs, and communicate relevant information promptly to internal teams.

Requirements:

  • Relevant experience in Material Control, Sales Support, Office Administration, Coordination, or Customer Service.

  • Minimum of 3 years of experience in a similar capacity.

  • Diploma or Degree in Engineering Industry / Business Administrative

  • Experience in the power industry or power plant operations is advantageous.

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) experience with SAP or other ERP systems is an added advantage.
