Job Description
The Executive (Marine HR – Planning) is a pivotal role within EPS's Marine HR team in Singapore, serving as the primary point of contact for all Marine HR matters related to assigned vessels. You will support Marine HR Managers across recruitment, crew scheduling, performance management, and manpower planning ensuring that the right seafarers are on board, fully compliant, and well supported. This is a hands-on role that keeps EPS's fleet moving by connecting the dots between our shore teams, manning offices, and seafarers worldwide.
Key Responsibilities
- Review monthly crew requirements and maintain regular communication with manning offices to ensure timely response to recruitment needs.
- Support the recruitment process by screening applications, conducting background checks, verifying qualifications and medical records, and coordinating candidate interviews.
- Plan, administer, and monitor ship staff rotations, pooling, and team migrations to ensure efficient manpower deployment across the fleet.
- Assign Vessel Management Team (VMT) ranks to vessels in compliance with company policies, STCW requirements, and relevant procedures, following approvals from Fleet and Operations Managers.
- Compile and analyse manpower statistics and competencies to meet current fleet requirements and anticipate future staffing needs.
- Maintain accurate, audit-ready records for all crew members, including qualifications, certifications, ITF renewals, and crew management documentation.
- Ensure vessels comply with MLC requirements, EPS manning standards, and ISO procedures, escalating non-compliance to the Marine HR Manager as needed.
- Liaise with manning offices and relevant departments on leave requests, pension remittances, crew changeovers, and new build deliveries.
- Plan and manage briefings and training sessions for new hires, serving Masters, Chief Engineers, and promotion candidates.
- Review crew appraisals for VMT and promotion-eligible ranks, and contribute to career planning and competency development initiatives.
Requirements
- Minimum Diploma qualification (for locally-based candidates).
- At least 3 years of experience in Marine HR or a related maritime role, either onboard or ashore.
- Good knowledge of Fleet Marine HR processes, MLC requirements, and STCW regulations.
- Strong IT proficiency, including Microsoft Word, Excel, and email applications.
- Effective communication skills in spoken and written English.
- Good appreciation of and sensitivity to cultural diversity in a global maritime environment.
- Ability to manage multiple tasks with attention to detail and a strong sense of responsibility.
