Job Description

ABOUT THE ROLE

This role provides secretarial and administrative support to the Chairman and contributes to the broader Secretariat function. The role is responsible for the efficient management of the Chairman's schedule, communications, engagements and Board-related matters. It requires strong organisational skills, sound judgement, discretion and professionalism, as well as someone who is proactive and comfortable working both independently and as part of a team.

Key Responsibilities

 Manage the Chairman's calendar, appointments and correspondence, and coordinate travel for the Chairman and Board members.

 Support the preparation and coordination of Board, committee and stakeholder meetings.

 Coordinate Chairman's engagements with Board members, senior management and other stakeholders.

 Coordinate official functions, Board lunches, dinners and visits, including logistics, venue, and hospitality arrangements.

 Maintain organised physical and electronic records, safeguard confidential information, and process claims and invoices.

 Support special projects and other duties as assigned.

Qualifications

WHAT WE ARE LOOKING FOR

 Diploma, Degree or equivalent qualification.

 Minimum 3 years of relevant experience in secretarial, executive assistant or administrative roles, preferably in a board secretariat, C-suite office or senior management setting.

 Excellent organisational and time-management skills with meticulous attention to detail.

 High level of discretion and integrity in handling confidential and sensitive information.

 Strong interpersonal skills with the ability to engage stakeholders at all levels.

 A collaborative team player who is resourceful, proactive and adaptable, able to manage multiple priorities under tight timelines.

 Strong written and verbal communication skills.

 Proficiency in Microsoft Office and virtual meeting platforms.
