Key Responsibilities:
1. Service and Sales Support
- Provide administrative and operational support to the Service Department.
- Plan and coordinate client visits and internal meetings.
- Manage travel arrangements, including hotel accommodations, visas, and entry permits.
- Support local arrangements for technical advisors, including work pass applications, Jurong pass applications, visa applications, accommodation, transportation, car booking, safety training, and site access coordination.
- Apply for and monitor MOM e-Notifications manage work pass applications, approvals, and related documentation.
- Track and follow up on internal and customer-related action items, service trackers, and operational projects.
- Assist with local administrative arrangements at site for the outage team, including transportation, meals, equipment, PPE, and other outage requirements.
- Maintain accurate document control and records of customer, sales, and operational data to ensure compliance and efficient retrieval.
- Generate quotations, sales orders, purchase requisitions, requests for payment, claims, and invoicing via the Intramart system.
- Monitor payments from customers and to suppliers.
- Coordinate in-land transport, domestic deliveries, and customs clearance for equipment.
- Manage shipping documentation, including bills of lading and shipping marks, in collaboration with logistics partners, customers, and vendors.
- Support ad-hoc projects and initiatives related to service sales administration.
- Prepare and coordinate periodic reports in a timely manner.
- Facilitate effective communication with customers, ensuring critical information is delivered promptly and accurately.
- Follow up and expedite delivery of materials to support readiness for planned and unplanned maintenance.
2. Administration
- Maintain and update customer records accurately.
- Support strategic initiatives aimed at improving sales and enhancing customer satisfaction.
3. Service Department Support
- Stay updated on purchasing and after-sales customer needs and share insights with the team.
- Perform other duties as assigned by the Service Department.
Education & Experience Requirements:
- Diploma or Degree in Business Administration, Logistics, Supply Chain, or related field.
- Minimum of 3 years of relevant experience in Sales Support, Office Administration, Coordination, or Customer Service.
- Additional certifications in Marketing, Sales, or related fields are advantageous.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) familiarity with SAP is a plus.
