JOB SUMMARY:
This position supports the 3PL Coordinator in managing end-to-end logistics operations at the APO 3PL distribution hub and provides daily operational support for the sample delivery across the APO region. The role ensures efficient inbound/outbound coordination, accurate inventory and system transactions, compliant documentation, and stable service delivery to meet business and customer requirements.
PRIMARY DUTIES AND RESPONSIBILITIES:
Day-to-Day Operations at 3PL Hub
- Assist 3PL coordinator to oversee end-to-end supply chain operations at the APO 3PL hub, ensuring adherence to IDEXX-contracted KPI goals through daily, weekly, and monthly performance monitoring.
- Manage outbound delivery operations, including:
- Online consignment booking with freight forwarders.
- Prepare and verify shipping documentation for hazardous goods in compliance with IATA standards.
- Facilitate communication with EXW (Ex-Works) distributors.
- Track from point to point till shipments get delivered to consignee.
- Maintaining the outbound shipments through internal tools (Smartsheet file)
- Coordinate with 3PL warehouse for regular cycle counts and annual physical inventories to ensure high inventory accuracy.
- Manage the damage/discrepancies for inbound and outbound shipments
- Manage dashboard on shipment volumes against capacity count.
- Verification of monthly invoices against 3PL reports
Day-to-Day Operations for Sample Delivery - APO Region
- Review and approve customer shipment requests in system.
- Verification of shipping documents for exportation
- Update daily tracker to support billing and traceability
- To be the main point of contact between internal and external stakeholders which includes shipment pick-up arrangements, following up on shipment status and be the point of escalation when there is any delay.
- Verification of monthly invoices and provide accrual to Accounting Team.
- Arrange inbound shipments for lab consumables and packaging materials for exportation.
- Work closely with Import/Export Team on regulatory procedures.
- Periodic business review with service providers.
- All other related lab issues
Exception Handling
- Address urgent delivery situations, special customer requests, make swift decisions, and escalate matters when necessary to ensure service levels are met.
- Handle unforeseen operational or system exceptions, coordinate troubleshooting activities and resolve order fulfillment issues by collaborating with stakeholders.
Miscellaneous Tasks
- Prepare and facilitate periodic business reviews with the 3PL.
- Produce and present business status updates to internal stakeholders.
- Create and/or update process documentation (SOP / WI).
- Assist with 3PL staff training reinforcement as needed.
- Other duties and responsibilities as assigned.
MINIMUM QUALIFICATIONS:
EXPERIENCE:
Min 3 years of working experience in a related field, solid understanding of supply chain and logistics principles and practices.
REQUIRED SKILLS AND ABILITIES:
- Strong communication and coordination skills, with the ability to effectively engage with diverse stakeholders across internal teams and external partners.
- Proactive and resourceful, with a positive attitude and the ability to take initiative and follow up to ensure resolutions of issues.
- Resilient and capable of performing effectively under pressure in a fast-paced environment.
- Detail oriented, with strong analytical and problem-solving skills.
- Proficiency in SAP, with expertise in resolving issues related to GR/PGI, inventory adjustments, and related transactions.
- Certification in IATA Dangerous Goods Transport by Air will be an added advantage.
- Proficient in computer skills, including MS Office applications.
PHYSICAL DEMANDS:
- Occasional travel within region might be required.
- Labour-intensive - Handling of heavy objects etc.
WORK ENVIRONMENT:
- Role requires traveling between Singapore Office (Biopolis) and Regional Distribution Centre (Pioneer)
- Normal office conditions.
