Job Description

  • More than 5 years of experience as a Legal Secretary, ideally supporting senior lawyers or Partners.
  • Strong communicator and executor with excellent spelling, grammar and familiarity with legal terminology.

We are looking for an experienced Legal Secretary to support a busy litigation practice in Singapore. This role involves a broad range of administrative and secretarial tasks, including supporting Partners, managing client files, handling billing and financial matters, coordinating diaries and travel, and assisting with business development efforts. You'll also provide cross-practice support during peak periods or staff absences.

Key Responsibilities

Service Delivery

  • Manage end-to-end administrative and operational support for fee earners
  • Coordinate meetings, appointments, and travel arrangements
  • Handle communications and build strong relationships with stakeholders (lawyers, partners, internal teams)
  • Ensure client onboarding complies with firm policies and risk requirements
  • Support day-to-day operations, including reception coverage when required
  • Contribute to client service initiatives and assist with matter management

Business Development

  • Support preparation and editing of bids, proposals, and marketing materials
  • Maintain credentials database and update fee earner CVs
  • Manage and update client/contact data in the CRM system
  • Assist with client events and business development activitiesConduct research on clients, prospects, and market opportunities

Project & Administrative Management

  • Open and maintain client files, including compliance checks and documentation
  • Prepare, format, proofread, and manage legal and business documents
  • Support billing processes, including pre-bills, narratives, and submissions
  • Process expense claims in line with firm policies
  • Ensure proper filing, archiving, and document management

Innovation & Continuous Improvement

  • Identify opportunities to improve processes and service delivery
  • Support evolving priorities of the practice group
  • Contribute to a culture of continuous improvement

Key Requirements

  • Prior experience in a similar role within a professional services environment
  • Diploma or equivalent secretarial certification preferred
  • Strong organisational, time management, and multitasking skills
  • Excellent written and verbal communication skills
  • Proactive, resilient, and able to work both independently and in a team
  • High level of professionalism, discretion, and confidentiality
  • Strong stakeholder management and interpersonal skills
