Job Summary
Provide full secretarial support to lawyers by managing documents, schedules, client communications, and assisting with e-litigation and billing processes to ensure smooth legal operations.
Responsibilities
- Organize and manage documents, emails, and correspondence to maintain accurate records and easy retrieval.
- Proofread, format, engross letters, create/edit PDF documents, and compile litigation bundles to support legal case preparation.
- Perform file opening and closing procedures to ensure proper case documentation.
- Manage lawyers calendars and update client/contact lists in the firm's CRM system (CoreMatter) to maintain scheduling accuracy.
- Assist with e-litigation filings, court calendar management, and conduct searches such as ACRA to support legal compliance.
- Prepare client bills and accurately input timesheets for fee earners to facilitate timely invoicing and record-keeping.
- Arrange courier services and handle commissioning/notarising tasks to support document processing needs
- Post disbursement entries to maintain financial records.
- Attend to incoming calls and visitors, providing professional front-desk support.
- Assist with greeting card mailings to maintain client relations.
- Perform any other secretarial duties as assigned by supporting lawyers to ensure comprehensive administrative support.
Required competencies and certifications
- Proficient knowledge of e-Litigation processes to support court filings and legal procedures.
- Skilled in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) for document creation and communication.
- Competent in Adobe Professional for document editing and PDF management.
- Experience with Client/Document Management Systems, preferably CoreMatter, to maintain client records.
- Ability to maintain client confidentiality to protect sensitive legal information.
- Strong administrative support skills and ability to collaborate effectively as a team player.
- Accountability and responsibility in managing tasks and deadlines.
- High attention to detail to ensure accuracy in document handling and billing.
- Basic tech-savviness to adapt to legal software and office technology.
- Practical judgment and common sense in handling daily tasks and problem-solving.
- Organized with good time management skills to prioritize workload efficiently.
- Sense of urgency to meet deadlines and respond promptly to requests.
Preferred competencies and qualifications
- Diploma, preferably in Legal Studies and/or Secretarial/Office Skills, to support understanding of legal administrative functions.
