We are seeking a highly professional, meticulous, and detail-oriented Legal Executive (Trust) to support the Executive Director and work closely with the Principal. The role requires the handling of highly sensitive and confidential matters with professionalism, discretion, and sound judgment.
Key Responsibilities
- Provide high-level administrative and operational support to the Executive Director and the Group.
- Assist in preparing, formatting, proofreading, and reviewing correspondence, reports, memoranda, presentations, agreements, and internal documentation.
- Draft and review emails, agreements, and legal or corporate documentation for management's consideration.
- Review legal documents received from external law firms and liaise with outsourced legal counsel on omissions, clarifications, and follow-up matters.
- Accurately transcribe voice recordings from meetings and conference calls.
- Assist in identifying, monitoring, and escalating legal, regulatory, and compliance-related matters within the Group.
- Monitor regulatory developments and maintain awareness of relevant legal and compliance updates.
- Track deadlines, maintain status reports, and update internal databases relating to tasks, projects, and documentation.
- Organise, maintain, digitise, and manage physical and electronic filing systems, records, and databases.
- Support office administration and coordination matter where required.
- Undertake ad-hoc assignments and projects as delegated by the Executive Director.
Requirements
- Prior experience within professional firms or the financial industry as an Executive Assistant, Legal Secretary, Trust Administrator, Trust Specialist, Corporate Secretary, or in a similar support role preferred.
- Experience handling trust administration, legal documentation, corporate matters, or banking-related documentation would be advantageous.
- Strong command of written and spoken English with excellent drafting, proofreading, and communication skills.
- Meticulous, organised, and able to manage multiple priorities independently and efficiently.
- High level of integrity, professionalism, and discretion in handling confidential information.
- Proficient in Microsoft Office applications and document management systems.
- Comfortable working in a fast-paced and dynamic environment.
