Singapore American School (SAS) is an independent, non-profit, co-educational day school offering an American-based curriculum for preschool through grade 12 with more than 4,000 students from more than 50 nations and 710 faculty and staff on one campus. Our core technology platforms consist of Apple endpoint devices and Google Workspace for Education among a wide variety of classroom technology and applications to support academic and operational needs.
At SAS, High School supports a BYOD program while Middle School has a 1:1 Macbook program. The Elementary School, grades 1 through 5 has a 1:1 iPad program.
Responsibilities:
The IT Assets and Procurement Specialist provides administrative and logistical support to the IT Operations Department for tasks related to IT assets management, contracts (RFPs) and procurement processes. They will be responsible for ensuring inventory accuracy, optimizing the procurement spend, and managing the secure deployment and retirement of all school-owned devices.
A list of non exhaustive responsibilities related to this position is as follows:
Centralised Procurement of technology hardware and software
- Research, seek, source and work with multiple vendors of technology products to determine the best deals for SAS
- Evaluate and scrutinize the vendors and products based on price, quality, speed of delivery and other factors that increases efficiency, productivity and return on investment
- Supplier relationship management
- Provide valuable feedback on technology product innovations and supply chains
Receiving deliveries of supplies and technology equipment
- Track shipments to ensure timely delivery
- Efficient and dependable verification of incoming shipments and deliveries in order to verify information against delivery orders
- Efficient and dependable verification of invoices ensuring correct quantity received using an appropriate and uniquely traceable system
Technology Team's contracts management
- Maintain contractual records and documentations in procurement and asset management systems
- Negotiate timely renewal of existing contracts under purview of the technology department at SAS
- Liaise and work with the school's legal counsel to ensure that all legal documentation between SAS and its vendors are regularly reviewed and revised.
- Liaise and work with the school's Finance Procurement Manager to ensure alignment with school procurement practice and standards.
Asset tracking and management
- Manage the full lifecycle of technology assets, (including intake, tagging, database maintenance, and secure disposal)
- Reroute assets to various destinations within SAS
- Regular asset analysis and reports generation
- Processing and managing asset allocation for new employees, depreciation and sales to departing employees.
- Maintain an informative and searchable dashboard for all IT assets and repairs
- Ensure school's technology stocks are timely replenished and kept in a safe, secure, clean and organized storage room.
IT asset disposition
- Management of lifecycle count for the technology hardware
- Management of retired IT assets to be recycled/repurposed/sold/destroyed
- Ensure secure data destruction and removal of assets from mobile device management systems
- Conduct on-site audit at Vendor locations to ensure compliance of device degaussing for disposed assets
Others
- Coordinator for third party repair for out of warranty technology devices.
- Work with the Assistant to Director of Technology for administrative tasks in the office and budgeting for the technology team
- Performing other duties as and when assigned by the supervisor
Requirements:
- Diploma from at least a recognized Polytechnic is required
- Diploma and/or experience in Procurement or Asset Management is highly desirable
- Excellent intrapersonal, organization, communication and office management skills are required
- Ability to handle multiple responsibilities and prioritize concurrently
- Reliable, dependable and ability to maintain highest degree of confidentiality
- Demonstrated advanced ability in finance applications, spreadsheets and databases
- Motivation and ability to learn new technology platforms
- Positive work attitude and initiative
- Experience in Google Workspace Applications (GMail, Google Drive/Docs, etc.)
