Assist in employee data management, including filing and updating personal records (physical and digital).
Support onboarding and offboarding activities (preparing documents, checklists, ID access, etc.).
Assist in preparation of HR letters, such as appointment letters, confirmation letters, and acknowledgements.
Support payroll administration by collecting attendance records, leave data, and supporting documents.
Assist in maintaining leave records, employee attendance, and HR trackers.
Support recruitment activities, including posting job ads, screening resumes, and interview coordination.
Assist in organizing training programs, employee engagement activities, and HR events.
Ensure confidentiality of employee information at all times.
Assist in general office administration, including filing, documentation, and record-keeping.
Handle incoming and outgoing correspondence, emails, and phone calls.
Support procurement and inventory tracking of office supplies and pantry items.
Assist in preparing purchase requests, payment documents, and administrative forms.
Coordinate with vendors, service providers, and internal departments when required.
Support meeting arrangements, including room booking, minutes taking, and document preparation.
Assist in maintaining HR and Admin policies, SOPs, and records.
Support documentation for audit, statutory, or internal compliance requirements.
Assist in updating HR databases / systems (e.g. HRIS, document management system).
Perform ad-hoc tasks assigned by HR or Admin supervisors.
Support special HR/Admin projects when required.
Diploma / Degree student in Human Resource Management, Business Administration, or related field.
Basic knowledge of HR processes is an advantage.
Proficient in MS Office (Word, Excel, PowerPoint).
Good communication and interpersonal skills.
Organized, detail-oriented, and willing to learn.
Able to handle confidential information professionally.
