[What the role is]
As a grantmaker committed to creating meaningful social change through impact giving, Tote Board is seeking a motivated intern to join our team. This internship offers hands on experience in designing structured knowledge content for AI assisted tools, developing clear workflow documentation, and supporting user testing to validate the accuracy and robustness of the knowledge base. You will learn how information is prepared, organised, and optimised so that AI systems and end users can retrieve guidance accurately and efficiently. [What you will be working on]
The intern will be required to:
- Develop a structured knowledge base by organising key operational workflows and process information into clear, accessible formats.
- Create and update stepbystep workflow guides that ensure accuracy, clarity, and ease of use for staff.
- Produce wellstructured, AIcompatible documentation that supports effective retrieval by digital tools and internal AIassisted platforms.
- Conduct user acceptance testing with user groups, document key findings, and recommend improvements based on feedback.
- Prepare a straightforward upkeep and maintenance guide to support future content updates and version control.
- Support additional tasks or adhoc projects as assigned.
Requirements:
- Currently pursuing a diploma/degree in a relevant field such as Social Science, Computer Science/Information Technology or a related discipline.
- Familiarity with AIenabled tools and digital platforms, including an understanding of how information needs to be structured for AI retrieval (e.g., clear chunking, tagging, consistent formats); proficiency in Excel and PowerPoint is preferred.
- Ability to work independently and in a team.
- Strong organisational and time management skills.
- Comfortable working with digital tools, learning new platforms, and structuring content for clarity, usability, and machine readability.

- Build practical skills in documentation, workflow design, and userfocused content creation.
