Job Summary
Support warehouse and operations teams by preparing and processing documentation, coordinating deliveries, managing billing and reporting, handling customer inquiries, and performing general administrative tasks to ensure smooth operational workflows.
Responsibilities
- Prepare and process operational documents including Delivery Orders (DO), invoices, permits, and job sheets to ensure accurate record-keeping
- Perform accurate data entry into Warehouse Management Systems (WMS), Excel, and internal systems to maintain up-to-date information
- Maintain organized filing systems for both softcopy and hardcopy operational documents to facilitate easy retrieval
- Liaise effectively with customers, drivers, warehouse teams, and operations staff to coordinate activities and resolve issues
- Assist in scheduling deliveries, collections, and warehouse operations to optimize workflow and meet deadlines
- Follow up on job status and communicate updates to relevant stakeholders to ensure transparency and timely completion
- Support job creation, job closing, and system updates to maintain accurate operational records
- Facilitate import/export documentation flow to comply with regulatory and company requirements
- Coordinate document handover between Customer Service (CS) and Operations teams to ensure seamless information transfer
- Assist in preparing billing, quotations, and invoices to support financial processes
- Track job completion and verify submission of all required documents to maintain operational accuracy
- Prepare simple reports on daily jobs, delivery status, and discrepancies to inform management decisions
- Handle basic customer inquiries promptly and escalate complex issues to appropriate personnel for resolution
- Monitor and track missing documents, delays, or discrepancies to proactively address operational challenges
- Support resolution of operational issues to maintain smooth warehouse and logistics functions
- Maintain office supplies and administrative records to support daily office operations
- Assist with HR and administrative tasks such as attendance tracking and coordination as needed
- Perform ad-hoc duties assigned by management to support team and operational needs
Preferred competencies and qualifications
- Diploma or Degree in Business Administration, Logistics, Supply Chain, or related field
- Minimum 2-4 years of relevant experience in warehouse or operations support
- Proficiency in MS Office applications including Excel, Word, and PowerPoint
- Experience with warehouse systems such as WMS or TMS is an advantage
- Strong organizational and multitasking skills demonstrated through managing multiple operational tasks efficiently
- Excellent communication and problem-solving abilities applied in coordinating teams and resolving issues

- Working Hours: 5.5 working days per week
