Position Description

The HR Specialist provides essential support to HR operations across Southeast Asia and is passionate about delivering a positive team member experience. This role manages the full spectrum of HR operational activities to optimize operational efficiency, ensures compliance and risk management, and strengthen overall team member experience. The incumbent will also plays a key role in driving organizational growth by contributing to continuous improvement of HR processes and operational excellence initiatives.

  • Please note that this role is internally titled Team Member Relations Specialist.

Job Responsibilities

HR Operations

  • Manages the full spectrum of HR operations in Southeast Asia, ensuring operational excellence and seamless execution of the full employee lifecycle process, including onboarding, retention, and offboarding.
  • Maintains accurate HR databases and personnel files while ensuring data integrity and full compliance with local employment and data protection regulations.
  • Ensure seamless coordination between HR and payroll team by assessing and processing leave related changes, investigating and resolving discrepancies, and managing timely communication.
  • Ensures accurate and efficient administration of employee benefits such as leave management, pension arrangements, and benefits enrolment.
  • Serve as the central point of contact for team members enquiries, offering timely guidance and training on established HR policies and procedures.
  • Ensures all HR activities meet regulatory, statutory obligations, while upholding internal company policies and standards.
  • Supports HR process improvement initiatives and contributes to enhancing systems and workflows for greater efficiency.
  • Contribute to ad-hoc requests and other HR-related projects.

Onboarding and Offboarding

  • Facilitate and administer onboarding process for new hires in Southeast Asia.
  • Coordinate and prepare onboarding equipment and welcome kits for new hires.
  • Keep track of probationary period for all new hires and send Probationary Reminders to managers.
  • Facilitate the offboarding process such as clearance, documentation, and exit formalities.

Recruitment Support

  • Coordinate and schedule interviews across multiple time zones within Asia using the Applicant Tracking System (ATS).
  • Prioritise a positive candidate experience throughout the recruitment process by handling all enquiries professionally and escalating questions to the hiring team in a prompt manner.
  • Ensure that the recruitment process is compliant with the requirements of local legislation.
  • Provide administrative support to hiring managers while facilitating recruitment activities.
  • Coordinate and ensure the successful completion of all reference checks before the onboarding process.

Team Member Wellness

  • Lead the planning and execution of engagement activities such as team lunches, dinners, and other wellness-related events as required.

Quality and Compliance

  • Understand and follow Applied Medical's Quality Systems (QS) per training.
  • Read, write, speak and communicate effectively with other team members, and comprehend work and safety instructions.
  • Understand and comply with safety rules and Company policies.

Position Requirements

Qualifications and Experience

  • Minimum Diploma graduate
  • Minimum 3 years of experience in an equivalent role.
  • Experience handling multi-country HR operations – ideally within Southeast Asia – is preferred but not required.

Knowledge, Skills And Abilities

  • Full professional proficiency in English. Excellent written and oral communication skills.
  • Communicate effectively and maintain a positive and collaborative relationship with cross-functional teams.
  • Ability to maintain confidentiality.
  • Consistently upholds ethical standards and integrity in day-to-day responsibilities.
  • Ability to execute tasks with accuracy and consistency.
  • Detail-oriented and has a good aptitude with numbers.
  • Proficiency in using Microsoft Office programs, including but not limited to Word, Excel, PowerPoint, Outlook.
  • Prior HRIS experience is a good to have but not required.
