As HR Operations Manager, you will oversee the daily, end to end transactional functions of HR ensuring efficient, compliant and updated processes are in place and in practice. This role will be reporting into our People & Culture Director.
What you'll be doing
- Responsible for employee data, profile set up and file management processes across all related databases
- Prepare offer letters and contracts for all employees
- Process new joiner references and/or background checks where necessary
- Produce documentation required for employees throughout the employee lifecycle (e.g. compensation, contractual changes, leaves of absence, employment verifications, SPR applications, etc.) and for ex-employees where required
- Manage work and dependent passes related matters (applications, renewals, cancellations) and any liaison with the Ministry of Manpower
- Prepare responses to all government surveys and submissions
- Responsible for benefits administration and enrolment (insurance, medical, etc) and leave portal management (leave assignments and adjustments)
- Track and produce monthly reports on new joiners, leavers, leaves of absence, probation, anniversaries
- Support TA process as necessary, maintain JD database, post roles on platforms and support interview arrangements
- Manage outsourced payroll provider and pay cycles
- Monitoring the HR inbox and acting as first line of contact for employees on payroll and compliance related matters, dealing with queries and escalating as appropriate
- Ensure audit compliance
- Support L&D initiatives
- Keep up to date with the employment law landscape and the impact to any HR administration, making recommendations as required
- Build and maintain effective relationships to support all stakeholders
- Contribute to the continuous improvement of the HR functions, suggest improvements to processes to ensure they are simplified, streamlined and efficient
The person we are looking for, would ideally have
- 4 years of relevant HR experience in a fast paced and dynamic environment
- Excellent administration and organisational skills with a high level of accuracy, able to meet strict and often tight deadlines
- Ability to work collaboratively, transparently and fast within a small team
- Pragmatic can do, can learn attitude with a focus on task completion
- Creative and curious, challenges processes, looks for enhancements, efficiencies and improvements
- Possess good understanding of employment laws
- Proficient in MS word, excel and powerpoint
