The role serves as a key partner to the HR Manager, balancing core administrative functions with the creative execution of internal communications and employer branding strategies.
Human Resources & Employee Engagement
- Create visuals and communications, including posters, notices, circulars and HR announcements for internal events and staff announcements.
- Support staff engagement initiatives and welfare programs to enhance workplace culture.
- Assist with work pass administration under the guidance of the HR Manager, including applications, renewals and cancellations.
- Maintain accurate employee records in compliance with PDPA.
- Compile timesheets, overtime and leave records to support payroll processing.
- Monitor employee training certifications and coordinate training or refresher sessions as required.
- Assist with employee compliance tasks, including security bond renewals, scheduling medical check-ups, and maintaining PCP, insurance and WICA records.
Administration & Branding Support
- Arrange and manage employee travel bookings, ensuring compliance with company policies and approved budgets.
- Prepare and submit travel claims and reimbursements for booked tickets.
- Ensure employees have all necessary documentation for re-entry into Singapore.
- Maintain dormitory lists and liaise with dormitory management on operational or welfare matters.
- Perform general office duties such as filing, data entry, scanning, and document control.
- Oversee office supplies and ensure stock levels are maintained.
- Provide secretarial support, including scheduling meetings and recording meeting minutes.
- Update and maintain company profiles and branding materials (PPT/PDF).
- Assist in creating and maintaining the company website.
Requirements:
- At least 1-2 years of experience in purchasing, administrative, or office support roles.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Good communication, organisation and interpersonal skills.
- Ability to multitask and work independently with minimal supervision.
- Positive working attitude and strong sense of responsibility.
- Attention to detail and accuracy.
- Experience with design software (e.g., Canva, Adobe Illustrator, Photoshop) is a significant advantage.
