Job Description

The role serves as a key partner to the HR Manager, balancing core administrative functions with the creative execution of internal communications and employer branding strategies.

Human Resources & Employee Engagement

  • Create visuals and communications, including posters, notices, circulars and HR announcements for internal events and staff announcements.
  • Support staff engagement initiatives and welfare programs to enhance workplace culture.
  • Assist with work pass administration under the guidance of the HR Manager, including applications, renewals and cancellations.
  • Maintain accurate employee records in compliance with PDPA.
  • Compile timesheets, overtime and leave records to support payroll processing.
  • Monitor employee training certifications and coordinate training or refresher sessions as required.
  • Assist with employee compliance tasks, including security bond renewals, scheduling medical check-ups, and maintaining PCP, insurance and WICA records.

Administration & Branding Support

  • Arrange and manage employee travel bookings, ensuring compliance with company policies and approved budgets.
  • Prepare and submit travel claims and reimbursements for booked tickets.
  • Ensure employees have all necessary documentation for re-entry into Singapore.
  • Maintain dormitory lists and liaise with dormitory management on operational or welfare matters.
  • Perform general office duties such as filing, data entry, scanning, and document control.
  • Oversee office supplies and ensure stock levels are maintained.
  • Provide secretarial support, including scheduling meetings and recording meeting minutes.
  • Update and maintain company profiles and branding materials (PPT/PDF).
  • Assist in creating and maintaining the company website.

Requirements:

  • At least 1-2 years of experience in purchasing, administrative, or office support roles.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Good communication, organisation and interpersonal skills.
  • Ability to multitask and work independently with minimal supervision.
  • Positive working attitude and strong sense of responsibility.
  • Attention to detail and accuracy.
  • Experience with design software (e.g., Canva, Adobe Illustrator, Photoshop) is a significant advantage.
