Role Overview
We are seeking a meticulous, reliable, and locally experienced HR Specialist/Manager to support our HR team. You will be responsible for the accurate and efficient administration of employee lifecycle processes, including onboarding, offboarding, internal transfers, and attendance management. The ideal candidate is an excellent organizer with strong communication skills and a strict adherence to confidentiality.
Key Responsibilities
Employee Lifecycle Administration:
- Manage new hire onboarding: Prepare employment contracts, coordinate orientation, and ensure all required documents (e.g., personal details, work pass copies) are collected and filed in compliance with Singapore's Employment Act.
- Coordinate employee offboarding: Conduct exit formalities, recover company assets, and ensure necessary notifications to CPF Board are submitted.
- Handle internal transfers (e.g., role, department, or salary changes) and update relevant systems and records.
Attendance & Leave Management:
- Regularly verify and process employee attendance records (including sick leave, annual leave, unpaid leave, etc.).
- Ensure leave applications align with company policies and Singapore's Employment Act requirements (e.g., paid sick leave, annual leave entitlements).
- Collaborate with payroll (internal or external) to provide accurate attendance and leave data.
Records & Administrative Support:
- Maintain accurate and up-to-date employee personal files (both digital and physical).
- Prepare HR-related letters (e.g., employment confirmation, proof of employment).
- Assist the HR team with data entry, report preparation, and other administrative tasks.
- Ensure all HR practices comply with Singapore regulations (e.g., Employment Act, CPF requirements, work pass guidelines).
Requirements
- Minimum Diploma in Human Resources, Business Administration, or a related field.
- Essential: 12 years of hands-on HR experience in Singapore, with knowledge of local employment regulations and practices.
- Proficient in Microsoft Office (especially Excel); experience with HRIS systems is a plus.
- Strong verbal and written communication skills in English (and preferably Mandarin, to handle multilingual staff queries).
- Detail-oriented, responsible, and committed to maintaining strict confidentiality.
- Ability to work independently, manage priorities effectively, and deliver quality work within part-time hours.
