Job Description

Location: Singapore
Reporting To: HR Manager / Regional HR Lead

Role Overview

This role supports end-to-end HR operations within a structured corporate environment, covering employee lifecycle management, HR administration, and coordination of regional payroll activities.

The incumbent will work closely with internal stakeholders and external vendors to ensure accurate HR processes, maintain employee records, and support compliance across multiple markets.

Key Responsibilities

1. HR Operations & Employee Lifecycle Management

  • Support full employee lifecycle including recruitment coordination, job postings, interview scheduling, onboarding, orientation, and offboarding
  • Prepare employment contracts, HR documentation, and maintain accurate employee records
  • Maintain and update HRIS, employee database, and personnel files
  • Support learning & development initiatives and performance management processes (e.g. KPI setting, reviews)

2. Regional Payroll Coordination & Data Management

  • Coordinate with external payroll vendors across multiple countries to ensure timely payroll processing
  • Prepare, consolidate, and validate payroll data including salary adjustments, allowances, claims, and deductions
  • Review payroll outputs from vendors and ensure accuracy and compliance with local statutory requirements
  • Liaise with Finance, HR, and vendors to resolve discrepancies and ensure smooth payroll operations
  • Support payroll documentation and audits as required

3. HR Policies, Compliance & Reporting

  • Support implementation and adherence to HR policies, employee handbook, and company guidelines
  • Ensure HR processes are aligned with local labour laws and statutory requirements
  • Support internal and external audits (e.g. MOM-related matters, employment regulations)
  • Maintain HR statistics and generate reports for management review

4. Employee Engagement & Benefits Administration

  • Plan and coordinate employee benefits programmes and company events (e.g. CNY Dinner, Christmas Party)
  • Support administration of employee benefits and welfare initiatives

5. Office Administration & Workplace Support

  • Maintain workplace health & safety standards and office environment
  • Support facilities coordination, office administration, and vendor management
  • Ensure smooth day-to-day office operations and business continuity

6. Stakeholder & Administrative Support

  • Act as a point of contact for employee queries related to HR policies and administration
  • Coordinate with internal stakeholders on HR and administrative matters
  • Support ad-hoc HR and administrative duties as assigned

Requirements

Education & Experience

  • Degree or Diploma in Human Resources, Business Administration, or related discipline
  • Minimum 3-6 years of experience in HR operations or HR generalist roles
  • Experience in payroll coordination or working with outsourced payroll vendors preferred
  • Prior experience in MNC or structured corporate environments is an advantage

Skills & Competencies

  • Strong attention to detail and accuracy
  • Good understanding of Singapore labour laws and statutory requirements
  • Experience with HRIS and payroll systems is an advantage
  • Proficient in Microsoft Office (Excel, Word, PowerPoint)
  • Strong organizational and time management skills
