Job Description

Key responsibilities

Employee lifecycle - onboarding to offboarding

. Collect and verify new joiner details and maintain accurate records in the HRMS

. Prepare and issue employment agreements, letters and related documentation

. Manage workpass matters end to end - Employment Pass applications, renewals, cancellations and liaison with MOM

. Run onboarding: pre-boarding preparation, day one, introductions and orientation

. Administer employee insurance - enrolment, changes, claims and renewals support

. Manage offboarding: resignation processing, exit documentation, clearance and exit interviews

. Support Rest of World entities with onboarding their employees into the HRMS

. Support monthly payroll preparation and ensure lifecycle changes are reflected accurately and on time

Employee support and day-to-day queries

. Act as first point of contact for employee questions on policies, benefits, leave and entitlements

. Maintain the HRMS - data integrity, leave records, reporting lines and system updates

. Support employee relations matters, escalating to the HR Lead where appropriate

. Respond to internal and external audit queries with accurate supporting documentation

. Coordinate employee engagement activities with the Employee Engagement Committee

. Administer employee recognition items such as birthday vouchers and long-service gifts

. Coordinate consultants engaged by the business - introductions to employees and invoicing

HR administration and government schemes

. Prepare and submit government-paid leave claims - maternity, paternity, shared parental and childcare - within statutory deadlines

. Manage grant and funding submissions, including training funding and other employer schemes

. Administer internship programmes and institution partnerships

. Maintain complete and accurate HR records for audit and statutory compliance

Office administration

. Manage office facilities - pantry, supplies, equipment, repairs and maintenance

. Liaise with building management on access, carpark and premises matters

. Process ERP submissions and coordinate with vendors

. Support visiting overseas colleagues and guests - invitation letters, travel documentation and accommodation

Projects and process improvement

. Contribute to automating probation, confirmation and appraisal workflows in the HRMS

. Support the rollout of our processes and systems to overseas entities, including training local teams

. Identify government funding and grant schemes the company can use, and run the submissions


What we are looking for

. Diploma or degree in Human Resources, Business Administration or a related discipline

. Three to five years of HR generalist or HR operations experience

. Working knowledge of Singapore employment legislation - Employment Act, CPF and the MOM work pass framework

. Hands-on HRMS experience, with the discipline to keep data accurate at volume

. Proven ability to manage fixed, non-negotiable deadlines without prompting

. High emotional intelligence. You read people and situations well, handle sensitive matters with care, and hold confidences without exception. Much of HR is judgement, not process.

. Curiosity. You ask why a process exists before accepting it, and you come with a better suggestion rather than a complaint.

. Ambition, with patience. You want to build an HR career, and you understand that credibility is earned by running the foundations excellently first.

. Clear written and spoken English, with the confidence to communicate across countries and cultures

. Self-directed- able to take ownership of a scope and run it, rather than wait for instruction
