Job Role
We are seeking a detail-oriented HR Shared Services Specialist to support end‑to‑end insurance administration, work pass operations, statutory claims, and HR administration activities. This roleplays a critical part in ensuring accuracy, timeliness and audit‑ready controls across all entities.
Key Responsibilities
Insurance Administration (End‑to‑End)
Manage employee insurance coverage including GHS/GMM, GPA, GTL, WICA and Group Business Travel insurance.
Process policy updates for new hires, leavers and employee changes against master listing submit required updates via portals or through broker.
Coordinate insurance claims, documentation submission and payout reconciliation with payroll and Accounts Payable.
Maintain accurate insurance records, policy documents and claims trackers.
Work Pass Operations
Manage end-to-end work pass processes (new applications, renewals and cancellations).
Prepare and submit applications via MOM portals and coordinate medical, biometrics and card issuance.
Monitor renewal timelines, arrange security bonds where required and track pass status.
Maintain work pass records and trackers.
Government Leave & Statutory Claims
Process government paid leave (GPL) and NS Make‑Up claims from submission to reimbursement.
Ensure timely reconciliation and coordination with payroll.
Contract Renewals & Re-employment Administration
Coordinate contract renewals and re-employment arrangements.
Prepare HR letters and documentation, including contract renewals, conversion, resignation.
Track medical scheduling and support related HR compliance requirements.
Payroll‑Ready Admin & Compliance
Perform pre‑pay checks, including WICA/NS/LSA payouts, in line with payroll cut‑offs date.
Support IR21 processes for foreigner/PR‑leaving cases, ensuring status updates from filing through tax clearance and salary release.
Assist with HR administrative such as levy/union e‑forms, OT report packaging.
Ad‑hoc HR Administration
Maintain HR trackers, records and documentation to ensure audit readiness.
Maintain training records and trackers such as WSQ completions upload certificates to WRMS where required and maintain KPI logs.
Assist in improving SOPs, documentation and operational processes.
Requirements
5 - 10 years hands‑on HR operations experience in Singapore
Proficient in work pass administration experience (applications, renewals, cancellations)
Hands-on experience with employee insurance administration (e.g. WICA/GTL/GPA/GHS/GMM)
Familiar with Government‑Paid Leave and statutory claims processes.
Experience with RRA processes and contract/letter preparation
Comfortable working with trackers, SOPs and audit documentation.
Familiarity with unionised environments is an advantage.
Experience in shared services or multi‑entity environments is an advantage.
Key Competencies

High level of discretion when handling confidential information high ownership and service mindset.
