Job Summary
We are seeking a HR Executive - Employee Relations professional to support our Global Technical Resource Management function. This role combines project administration, resource coordination, and operational support responsibilities. The successful candidate will act as the primary point of contact for deployed IT resources, coordinate with internal teams and vendors, and ensure smooth onboarding, deployment, compliance, and day-to-day operational support for outsourced and project-based staff. This role plays a key part in ensuring operational continuity, efficient resource management, and compliance with organisational and client requirements.
Responsibilities
- Serve as the primary operational contact for deployed resources at client sites to ensure seamless communication and issue resolution
- Respond to and resolve employee queries related to attendance, leave, onboarding, offboarding, system access, and administrative matters to maintain workforce satisfaction and compliance
- Maintain accurate and up-to-date records of resource deployment, assignments, and changes to support operational transparency and reporting
- Receive, document, and resolve day-to-day issues raised by deployed staff, escalating complex or sensitive matters to Senior Management for timely resolution
- Coordinate with internal HR, Admin, and project teams to support deployed resources and ensure alignment with organisational policies and client requirements
- Liaise with client representatives and parent company stakeholders to manage operational matters and uphold compliance with client policies and engagement standards
- Execute standard operating procedures (SOPs) and workflow processes to maintain operational consistency and efficiency
- Maintain documentation related to deployments, approvals, compliance, timesheets, access permissions, and onboarding to support audit readiness
- Prepare regular operational and staffing reports to monitor resource status, open issues, and risks, enabling proactive management and continuous improvement
- Identify operational gaps and support initiatives to enhance process effectiveness and resource management
- Coordinate resource requirements with hiring and project managers to align staffing with project needs and timelines
- Liaise with outsourcing and staffing vendors to facilitate resource fulfilment, tracking recruitment progress, onboarding status, and deployment timelines
- Support standardisation of operational processes and documentation to ensure consistency across projects and engagements
- Assist in internal and external audits by ensuring documentation accuracy, compliance readiness, and timely response to audit queries and follow-up actions
Preferred competencies and qualifications
- Diploma or Bachelor's Degree in Human Resource Management, Business Administration, or a related discipline
- 2-5 years of experience in resource coordination, HR operations, project or administrative support, and vendor or staffing coordination
- Proficient in MS Office and Google Workspace applications
- Strong organisational skills demonstrated by managing multiple tasks and priorities effectively
- Excellent verbal and written communication skills to engage with diverse stakeholders
- Good stakeholder management abilities to foster collaboration and resolve issues
- High attention to detail and accuracy in maintaining records and documentation
- Ability to work independently and collaboratively within cross-functional teams
