Job Description

We are looking for a proactive and hands-on HR Executive (6-month full-time contract renewable based on business needs) to support the full spectrum of HR operations across Singapore & Malaysia.

This role is ideal for someone experienced in HR operations, payroll administration and work pass matters, and who is able to step in quickly to support business continuity.

Key Responsibilities
1) Full Spectrum HR Operations

  • Support end-to-end HR activities including recruitment, onboarding, confirmation, transfers, and offboarding.
  • Maintain accurate and up-to-date employee records, HR databases, and personnel files.
  • Prepare HR documentation such as letters of appointment, confirmation letters, contract variations, and resignation letters.

2) Payroll & Compensation Admin (Singapore & Malaysia - 120 headcount)

  • Support or manage monthly payroll processing for Singapore and Malaysia, including:

- Attendance, leave, overtime, and allowance verification

- CPF, SDL, and statutory submissions (Singapore)

- EPF, SOCSO, EIS and statutory compliance (Malaysia - exposure preferred)

  • Liaise with payroll vendors where applicable and ensure payroll accuracy and timeliness
  • Assist in payroll-related processes such as IR8A, IR21, EA forms, audits and reporting.

3) Work Pass & Immigration (Singapore)

  • Handle Singapore work pass applications (EP, S Pass, Work Permit), including:

- New applications, renewals, cancellations, and appeals
- Liaison with MOM and relevant authorities
- Advising internal stakeholders on eligibility and documentation requirements

4) Training & Development Coordination

  • Coordinate training and learning programmes, including course registration, scheduling, and tracking of attendance.
  • Maintain training records and support training needs administration in line with organisational requirements.
  • Liaise with external training providers and support claims or submissions where applicable (e.g. funding or grants, if any).
  • Assist in the administration of internal learning initiatives and professional development programmes.

5) Internship & Early Talent Support

  • Coordinate internship programmes, including:

- Internship postings, onboarding, and offboarding
- Preparation of internship agreements and documentation
- Liaison with educational institutions and internal supervisors

  • Serve as the HR point-of-contact for interns and institute on HR-related matters.

6) Policy Administration & HR Compliance

  • Support the implementation and administration of HR policies and procedures.
  • Ensure compliance with Singapore and Malaysia labour regulations, as well as internal HR guidelines.
  • Uphold PDPA and data confidentiality standards in all HR operations.

Requirements

  • Diploma or Degree in Human Resource Management, Business Administration, or related fields.
  • 3-6 years hands-on experience in full spectrum HR operations.
  • Familiarity with Singapore and Malaysia payroll processes and statutory requirements.
  • Must have experience handling Singapore work pass applications.
  • Working experience in a Shared Services / COE / centralised HR environment advantageous
  • Familiarity with QuickHR is preferred
  • Immediate or short notice candidates preferred
