Job Title : HR Assistant
Department : Human Resources & Administration
Reports To : HR Manager / COO
Job Summary:
The HR Assistant supports day-to-day human resources operations in a fast-paced robotics and technology environment. This role focuses on HR administration, recruitment coordination, and employee lifecycle support, as well as compliance with local labour regulations, to ensure smooth HR operations across engineering, manufacturing, and corporate teams.
Key Responsibilities:
HR Administration
. Maintain and update employee records, HR databases, and personnel files
. Prepare HR documents, including employment contracts, confirmation letters, LOAs, internal memos, and offboarding documents
. Maintain leave records, attendance tracking, and staff records claims documentation
. Support HR audits and ensure proper documentation and compliance
Recruitment & Onboarding
. Coordinate recruitment activities, including job postings, resume screening, interview scheduling, and candidate communication
. Liaise with recruitment agencies and hiring managers (Service, operations, R&D teams)
. Prepare offer letters and onboarding documentation
. Coordinate onboarding activities , including orientation, IT access, and asset handover
Employee Lifecycle Support
. Support probation reviews, confirmations, transfers, and contract renewals
. Assist in offboarding processes, including exit interviews and clearance documentation
. Respond to employee HR queries in a timely and professional manner
Compliance & HR Operations
. Ensure compliance with local employment laws and MOM requirements
. Support the implementation and communication of HR policies and procedures
. Assist in training coordination, safety briefings, and statutory training records
. Support HR projects and HR initiatives as assigned
Requirements & Qualifications
. Diploma or Degree in Human Resources, Business Administration, or related field
. Minimum 1-3 years of HR or administrative experience (Experience in robotics, automation, and the manufacturing industry is an advantage)
. Basic knowledge of Singapore employment regulations
. Strong organisational, coordination, and documentation skills
. Proficient in Microsoft Office (Word, Excel, Outlook) and HR Infotech systems
. Able to handle confidential information with professionalism and discretion
. Ability to work in a fast-paced, technical environment
. Proactive, responsible, and willing to learn
