Job Description

Overview

We're hiring an HR Assistant to support our manpower needs across all sites, with recruitment as the #1 priority. You'll handle sourcing and coordinating officer hiring, prepare HR documents, manage onboarding/offboarding, and process work pass matters quickly and accurately.

We use Employment Hero and run a fully online, cloud-based, paperless HR workflow. This is an individual contributor role (no people management). We offer flexible working hours and hybrid work, and we're looking for someone who can deliver outcomes with minimal supervision.

Key Responsibilities (Priority Order)

1) Recruitment for Officers (Primary)

  • Source, screen, and coordinate hiring for officers across multiple sites.

  • Support walk-in / mass recruitment activities when needed (may include site visits).

  • Liaise closely with Operations team on manpower needs, start dates, and deployment readiness.

  • Maintain candidate pipeline and hiring trackers (status, documents, start dates).

2) HR Documentation & Admin (Paperless)

  • Prepare and manage required HR documents (offers, onboarding forms, acknowledgements, letters).

  • Maintain accurate employee records and digital filing in Employment Hero.

  • Ensure documents are complete, consistent, and audit-ready.

3) Onboarding & Offboarding

  • Coordinate onboarding steps: document collection, system setup, orientation scheduling, and ready-to-deploy checks.

  • Handle offboarding admin: resignation documentation, clearances, exit paperwork, system updates.

4) Work Pass Processing (Crucial)

  • Support and/or process applications/renewals/cancellations for Work Permit / S Pass / Employment Pass.

  • Track timelines and ensure submissions are accurate and done promptly.

  • Coordinate with employees and relevant parties for documents and follow-ups.

5) Grants Support (Nice-to-have / Secondary)

  • Assist with basic documentation for training-related government grants submissions/claims when required.

Requirements

  • Comfortable with high-volume recruitment / frontline hiring (security industry experience is an advantage).

  • Experience supporting work pass processing (WP/S Pass/EP) is strongly preferred.

  • Strong admin skills: detail-oriented, fast document handling, accurate filing.

  • IT-savvy and confident with cloud tools (Employment Hero or other HR platforms is a plus).

  • Able to work independently, prioritize tasks, and follow through with minimal supervision.

  • Willing to travel to sites occasionally for recruitment activities.
