The primary responsibility of the HR & Admin Executive is to manage office administrative tasks and human resources duties, ensuring the smooth operation of the organization.
1. Reporting Officer
You will report to the Management Executive for all matters relevant to this role.
2. Duties
a) HR:
- Recruitment and onboarding: Assist in the recruitment process, including job postings and interviews
- Training and development: Coordinate training programmes and maintaining training records
- Attendance and Claims: Collate freelancers attendance records and arrange relevant payment and manage staff claims
b) Office Admin:
- Support daily operations: Assist in managing office supplies, scheduling and coordinating meetings
- Reception duties: Answering phone calls and manage walk-in enquiries
- Administrative tasks: Handle correspondence, data entry and maintaining records
- Office management: Ensure a clean and organised workspace, and liaise with vendors/contractors
c) Others:
- Support organisation-wide events and functions, in areas such as logistics, food and beverage and reception
- Support facility management such as maintenance of fire extinguishers and periodical checks on upkeeping of premises
3. Job Requirements
- Relevant Diploma or work experience in related field
- Minimum 2-3 years in HR and office admin duties
- Proficient in MS Office and HR management system
- Strong organisational skills, with an ability to manage multiple tasks and meet deadlines effectively
- Excellent writing, communication and interpersonal skills, with an ability to work collaboratively with various stakeholders
- Open to ad hoc working in the evening/weekends to cater to needs of programme teams.
