Role Description

We are seeking a dedicated full-time Human Resources & Admin Executive to join our team on-site in Singapore. The successful candidate will be responsible for overseeing and executing a range of HR and administrative tasks, including recruitment and onboarding processes, employee relations, payroll management, and ensuring compliance with HR policies and local regulations. The Executive will also manage day-to-day office operations, support company events, maintain employee records, and contribute to team engagement initiatives. Key Responsibilities

1. Business Courier Tracking & Follow-up

  • Coordinate company business courier shipments and distributions, including order tracking, logistics coordination, and real-time delivery status updates
  • Liaise with courier companies to ensure accuracy and timeliness of logistics information, handle delivery exceptions and related complaints
  • Manage courier-related documentation, maintain system records, and prepare basic logistics reports

2. Singapore Office Daily Operations

  • Provide administrative and clerical support, including document management (receiving, dispatching, filing, archiving, and safekeeping)
  • Manage office supplies procurement, inventory tracking, and daily office equipment maintenance
  • Coordinate meetings (room booking, materials preparation, minute-taking), receive visitors, and ensure a tidy, safe, and well-organized office environment
  • Handle daily administrative tasks such as mail handling, phone answering, data entry, and coordination of ad-hoc office matters

3. Attendance Management & Recruitment Support

  • Assist in maintaining employee attendance records, calculating and verifying monthly attendance, monitoring exceptions, and following up as required
  • Support recruitment activities including job postings, resume screening, interview scheduling, and onboarding/offboarding coordination
  • Maintain employee files, update staff rosters, and assist in preparing basic HR-related reports

4. Other Administrative Support

  • Provide reception and administrative support at exhibitions or events when required
  • Respond to temporary requests from customers or operations teams as needed

Requirements

  • At least 1 year of experience in administration, HR support, or a related field is preferred (fresh graduates with relevant internships may also be considered)
  • Able to work independently with good organizational skills
  • Proficient in Microsoft Office (Word, Excel, PowerPoint)
  • Proactive, willing to learn, with good communication skills and a strong team player
  • Salary will be commensurate with experience and qualifications
  • Outstanding receptionists could also be considered
