Job Description

Job Responsibilities

Recruitment & Onboarding

  • Assist in the end-to-end recruitment process from job posting, resume screening, talents selection and interview arrangement
  • Coordinate interviews with hiring managers and candidates, and follow up on interview status
  • Assist in preparing Letters of Employment, Confirmation, and other HR-relateddocuments
  • Conduct new hire orientation, onboarding, and offboarding processes

HR Operations & Employee Administration

  • Update and maintain employees details and personal files
  • Maintain and update leave records for a designated group of employees, ensuring accuracy and timeliness
  • Manage and process employee claims, ensuring accuracy and compliance with company policies
  • Organise staff flight and hotel bookings and process related claim forms
  • Coordinate the creation and distribution of name cards for employees, including management and staff across all regions except the Philippines (PH) and Saudi Arabia (KSA)
  • Provide support in day-to-day HR and administrative operations

Training & Learning & Development (L&D)

  • Manage the full process of staff training programs, including coordination with internal stakeholders and training vendors, course registration and confirmation, post-training evaluations, training records maintenance, and certification tracking
  • Source and liaise with training vendors to register employees for training
  • Coordinate planning and scheduling of L&D courses, including trainer liaison and participant management
  • Evaluate effectiveness of training programs through employee feedback

Office Administration, Front Desk & General Support

  • Answer incoming calls, take messages and redirect calls when required
  • Cover reception duties when needed
  • Manage and maintain pantry inventory and assist in purchasing pantry items
  • Plan, organise, and execute internal events and activities, including monthly birthday celebrations, monthly fruit day, and festive celebrations such as Chinese New Year (CNY) and Christmas
  • Perform any other ad-hoc HR and administrative duties as assigned

Job Requirements

  • Minimum O Level / A Level / ITE / Diploma or equivalent
  • At least 1 year of related working experience
  • Entry level is welcome to apply
  • Proficient in Microsoft Office applications
  • Good communication and interpersonal skills
  • A good team player with a positive work attitude, strong initiative, and resilience
  • Able to work independently with minimal supervision


Others

  • Working hours: 9am to 5pm, Mondays to Fridays
  • AWS and Performance Bonus is given subject to company and individual's performance
