The Admin & HR Executive is responsible for managing the administrative and human resource functions within the organization, ensuring efficient office operations and compliance with employment regulations relevant to the construction industry. This role includes overseeing recruitment, employee records, site workforce coordination, and supporting HR initiatives to maintain an organized and productive work environment.
The ideal candidate should possess strong organizational, communication, and multitasking abilities, with the capability to manage HR and administrative processes independently in a fast-paced construction environment.
Oversee daily administrative operations of the office.
Maintain organized filing systems for employee records, contracts, permits, and company documentation.
Prepare internal communications, reports, and company announcements.
Coordinate meetings, appointments, and travel arrangements for management and staff.
Manage office supplies and liaise with vendors, service providers, and contractors.
Manage the recruitment process including job posting, candidate screening, interview coordination, and hiring documentation.
Maintain and update employee records in HR systems, ensuring data accuracy and confidentiality.
Coordinate onboarding and orientation programs for new employees.
Assist in implementing HR policies, employee handbooks, and company procedures.
Support the performance appraisal process and maintain documentation.
Coordinate recruitment and documentation for site workers, supervisors, and technical staff.
Manage work pass applications, renewals, and cancellations for foreign workers where applicable.
Maintain proper documentation for construction site workers, subcontractors, and project staff.
Track worker certifications, training records, and safety courses required for construction work.
Assist in monitoring site attendance, manpower allocation, and workforce scheduling.
Ensure compliance with workplace safety regulations and construction-related labor requirements.
Support HR documentation required for site audits, safety inspections, and regulatory compliance.
Coordinate with project managers and site supervisors regarding manpower needs.
Address employee inquiries regarding HR policies, benefits, and procedures.
Assist in organizing employee engagement activities, welfare programs, and company events.
Maintain records for employee leave, attendance, and disciplinary actions where necessary.
Ensure HR and administrative processes comply with company policies and labor regulations.
Maintain confidentiality of employee and company information.
Prepare HR reports and workforce data for management review.
Work closely with project managers, finance, and operations teams to support business activities.
Provide administrative support during company meetings, audits, and corporate events.
Experience in the construction industry is an advantage.
Strong organizational and communication skills.
Proficient in Microsoft Office and HR systems.
Ability to handle confidential information with professionalism.
