Job Description

Responsibilities

  • Assist HR team in all aspects of HR matters.
  • Recruitment & New Hire
  1. Obtain information and documents from selected candidate considered to be hired
  2. Inform IT team and Insurance agent of new hire details.
  3. Liaise with manager on employee's probation review and prepare confirmation letter or applicable probation extension document.
  • Training
  1. Register training courses with external provider and inform manager and employee of the training schedule.
  2. Prepare training letter for participants as and when required.
  3. Submit training invoice to finance department to ensure payment to training provider.
  • Involved in organising employee p-files (soft and hardcopies) up to Senior Manager level.
  • Involved in separation process by liaising with insurance agent to remove resigned employees from coverage, and update exit interview documentation.
  • Update and maintain record for Data Protection Trustmark (DPTM).
  • Update Company Code of Conduct policy materials, HR process tables, Job Description (JD) database etc.
  • Verify all HR related invoices (eg. Ang Manpower, HR Exchange, KM dormitory, Cabcharge, SATA, St Andrew, StarMed etc)
  • Request for cabcharge account for new worker.
  • Keep track worker's airticket allowance to be paid.
  • Keep track of referral program and arrange referral program payment.
  • Administrative
  1. Name cards: prepare QR code and liaise with printer for all business cards
  2. Rubber stamps
  3. Order of Stationery for Office use
  4. Order of Office supplies for Office use
  5. Keep Record and duplicate keys for Office
  6. Liaise with supplier for photocopier renewal
  7. Change of IU numbers for Management cars (if needed)
  8. Liaise on 7th Month prayers and purchase
  9. Order of gifts/wreath
  • Perform any other ad-hoc duties.

Requirements

  • Degree/Diploma with experience in HR & Admin.
    (Fresh degree/diploma holder can be considered).
  • Positive proactive attitude and ethical behaviour.
  • Team player with ability to work independently and resolve challenges in a fast-paced environment.
  • Excellent interpersonal, communication, collaborative and people management skills.
  • Proficiency in Microsoft Office (Microsoft Word, Excel and PowerPoint).
