Job Summary

We are seeking a detail-oriented and organized HR Administrative Assistant to support our Human Resources team. In this role, you will be the backbone of our daily HR operations, handling everything from managing employee records and coordinating onboarding to acting as a welcoming first-point-of-contact for employee inquiries.

Responsibilities

  • Maintain accurate and up-to-date physical and digital employee records, including contracts, performance reviews, and PTO logs, to ensure reliable HR documentation
  • Enter and verify daily data into the Human Resources Information System (HRIS) to maintain data integrity and support HR processes
  • Prepare HR documents such as employment verification letters, onboarding and offboarding forms, timesheets, claim forms, and company announcements to facilitate smooth HR operations
  • Manage the HR team's calendar by scheduling meetings and coordinating internal events or training sessions to optimize team productivity
  • Coordinate onboarding activities by scheduling orientation sessions, setting up workstations, and preparing welcome kits to ensure new hires are well-integrated
  • Assist new employees in completing required paperwork and provide guidance on basic company policies to support their transition
  • Support recruitment by helping recruiters schedule interviews, communicating with candidates, and posting job openings on recruitment platforms to streamline hiring
  • Serve as a reliable first point-of-contact for employee inquiries related to staff welfare, benefits, company policies, and time-off requests to enhance employee relations
  • Assist with compliance by supporting workplace postings and audits in accordance with local labour laws to maintain regulatory standards
  • Support benefits administration and open enrollment logistics to ensure accurate and timely employee benefits management

Preferred Competencies and Qualifications

  • 1-3 years of experience in administrative assistant, office coordinator, or HR support roles to demonstrate relevant work exposure
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google apps (Forms, Sheets, Drive) to efficiently handle HR tasks
  • Strong interpersonal skills to communicate effectively with employees and team members
  • Exceptional organizational skills to manage multiple tasks and maintain order in HR operations
  • Proven ability to handle sensitive and confidential information with professionalism and discretion
