Job Description

Solutino Pte Ltd is a management consultancy company with regional offices across Malaysia, Hong Kong, Indonesia, and Australia. The HR team at our Singapore HQ partners closely with regional HR managers to develop and implement HR policies and SOPs, serving as the primary link between management and staff across regional offices.

As the Group HR Manager for our Singapore (HQ) office, you will play a key role in supporting the Company and its group of entities. You will oversee the day-to-day administration of HR policies, ensuring compliance and adherence to established SOPs. Your ability to engage effectively with employees across all levels and regions will be a strong asset, and you should be confident in communicating, influencing, and driving performance. Reporting to the Chief HR Officer and working closely with regional HR teams in Malaysia and Indonesia (in future including Hong Kong), you will gain broad exposure across the HR spectrum regionally, applying appropriate HR tools to support business objectives.

Key Responsibilities:

1. Regional HR Oversight & Stakeholder Management

  • Oversee, guide, and supervise regional HR teams to ensure adherence to Group SOPs, policies, and reporting standards.
  • Act as the key HR point-of-contact for regional offices, providing advisory support on employee relations, disciplinary matters, and compliance issues.

2. Leadership & HR Operations Management

  • Manage weekly HR department meetings, set agendas, and ensure timely preparation and follow-up of meeting minutes and action items.
  • Ensure smooth day-to-day HR operations and continuous process improvement.

3. HR Policies, SOPs & Governance

  • Review, develop, revise, and enforce HR and administrative policies, SOPs, checklists, and internal guidelines to ensure compliance with local labour laws and Group standards.
  • Ensure consistent application of HR policies across all regional offices and recommend improvements where necessary.

4. Talent Acquisition & Workforce Planning

  • Manage the end-to-end recruitment lifecycle, including manpower planning, job postings, interviewing, selection, offer management, and onboarding.
  • Partner with hiring managers to ensure timely hiring and alignment with business needs.
  • Build and maintain a strong talent pipeline and employer branding initiatives.

5. Compensation, Benefits & Payroll Oversight

  • Prepare, review, and oversee compensation and benefits administration, including payroll coordination, allowances, medical claims, and statutory contributions for all regional offices.
  • Conduct periodic benchmarking and recommend compensation structure improvements to ensure market competitiveness and internal equity.

6. Compliance & Risk Management

  • Ensure compliance with employment legislation, statutory reporting, audits, and internal controls across all jurisdictions.
  • Identify HR-related risks and recommend mitigation strategies to management.

7. Performance Management & Job Analysis

  • Conduct quarterly job analysis and role reviews with employees to ensure role clarity, efficiency, and alignment with organisational objectives.
  • Prepare consolidated reports and recommendations for review by CHRO / management.
  • Facilitate and oversee quarterly KPI reviews and annual performance appraisals with managers to ensure clear expectations, performance alignment, and development planning.

8. Employee Relations & Engagement

  • Manage employee relations matters including grievances, disciplinary actions, and conflict resolution, ensuring fair and consistent practices.
  • Implement initiatives to enhance employee engagement, culture, and retention across the Group.

9. Exit Management & Offboarding

  • Oversee exit interviews to identify trends and improvement areas.
  • Ensure proper handover, clearance, and documentation through close coordination with reporting managers and relevant departments.

10. HR Analytics & Performance Tools

  • Drive performance and decision-making through HR tools such as performance management systems, AI solutions, and data analytics.
  • Monitor HR metrics (e.g., turnover, engagement, performance trends) and provide insights and recommendations to management.

11. Administrative, Office & Management Support (As Required)

  • Oversee and manage office administration functions to ensure smooth day-to-day operations, including coordination with vendors, service providers, and internal stakeholders.
  • Perform other ad-hoc administrative, office, and management support duties as assigned by Management.

12. Ad-hoc & Strategic Projects

  • Support HR transformation, digitalisation, and strategic initiatives as assigned by Management.
  • Perform other ad-hoc duties and projects as required to support organisational goals.


Requirements:

  • Bachelor's degree in Human Resources, Business Administration, or a related discipline, with at least 7 years of solid HR generalist experience, preferably with regional or multi-country oversight.
  • Proven success working in SME environments, demonstrating the ability to operate hands-on, manage multiple responsibilities, and build structure and processes in fast-moving or resource-lean settings.
  • Strong resilience and mental toughness, with the ability to remain composed under pressure, handle demanding or challenging stakeholders, and navigate ambiguous or evolving business situations with confidence.
  • Highly adaptable and agile, able to pivot quickly with shifting business needs, adjust to changing organisational structures, and work effectively in environments where processes are still maturing.
  • Strong stakeholder management, interpersonal, and communication skills, with the ability to influence, engage, and build credibility across all levels, including senior management and regional teams.
  • Confident and assertive communicator capable of constructively challenging stakeholders, ensuring governance, and enforcing HR policies consistently across regions.
  • Demonstrated capability in HR Business Partnering, including advising managers on people strategy, workforce planning, and employee relations.
  • Proven ability to independently manage complex employee relations and disciplinary matters, applying sound judgement, fairness, and discretion.
  • Highly independent, proactive, and self-driven, with a high sense of ownership and a strong bias for action able to identify issues early, recommend practical solutions, and execute with minimal supervision.
  • Strong analytical, organisational, and coordination skills, with meticulous attention to detail and the ability to balance operational and strategic priorities.
  • Comfortable working both strategically and hands-on, managing day-to-day HR operations while driving longer-term initiatives and HR improvements.
  • Trusted to handle confidential and sensitive matters with professionalism, discretion, and sound judgement.
  • Experience supporting regional HR operations with working knowledge of labour laws, statutory requirements, and HR practices in Malaysia, Hong Kong, Australia, and/or Indonesia will be a strong advantage.
  • Proficient in HR systems, digital tools, AI-enabled HR solutions, and Microsoft Office exposure to HR analytics or performance management platforms is an added advantage.
  • Professional HR certifications such as IHRP, SHRM, or CIPD are advantageous but not mandatory.

Additional Information / Expectations:

  • Candidates will undergo 2 rounds of interviews with some pre-employment assessment tests as part of the recruitment procedure.
  • All new hires will be offered on yearly renewable for 2 years before conversion to permanent role.
