Job Purpose
The General Affairs Executive plays a key role in strengthening the organisation's asset management practices through structured processes and digital solutions. This role focuses on improving asset visibility, accountability, and operational efficiency by supporting the development of asset management frameworks, SOPs, and systems across multiple sites. The Executive will work closely with the Head of Department to progressively enhance and institutionalise asset management practices, while providing operational and basic technical support where required.
Key Responsibilities
- Asset Management & System Implementation (Core Focus)
- Support the development and implementation of asset management policies, SOPs, and standard workflows.
- Maintain and continuously improve a centralised asset register, ensuring accuracy, proper classification, and completeness.
- Coordinate and manage asset lifecycle processes, including tagging, deployment, transfer, maintenance tracking, and disposal.
- Support the implementation and enhancement of digital asset tracking systems, including basic automation.
- Conduct periodic asset verification and reconciliation exercises to ensure data integrity and minimise discrepancies.
- Maintain proper documentation, including asset records, maintenance logs, and audit trails.
- Oversee storage and inventory organisation, ensuring efficient use of space and accessibility of assets.
- Drive and sustain 5S practices within storage and operational areas.
- Process Improvement & Governance
- Assist in developing standard templates, forms, and process documentation to streamline asset-related workflows.
- Identify opportunities to improve efficiency, data visibility, and user experience in asset management processes.
- Work towards integrating asset processes with procurement and finance workflows where applicable.
- Support the preparation of reports and dashboards (e.g. Excel, Power BI) for tracking asset status and utilisation.
- Ensure compliance with internal policies, audit requirements, and governance standards.
- Audio-Visual & Operational Support (Secondary Scope)
- Provide basic audio-visual (AV) setup and troubleshooting for meetings and events (e.g. projectors, microphones, video conferencing tools).
- Conduct simple pre-event checks to ensure equipment readiness.
- Coordinate with external vendors for more complex AV requirements or servicing.
- Support general operational setup for events and activities when required.
Requirements
Qualifications & Experience
- Diploma or Degree in Business Administration, Logistics, Information Systems, Facilities Management, or a related discipline.
- 2–4 years of relevant experience in operations, asset management, or process improvement roles.
- Experience in SOP development, system implementation, or digital tools will be advantageous.

- Tech-savvy, with strong interest in systems, automation, and digital tools (e.g. Microsoft 365, SharePoint, Excel).
