Job Title: General Affairs & Executive Assistant
Monthly Salary: UP to $5000 (Negotiable)
Working Address: TBC
Working hours: 5-day work week, 44 hours/week (flexibility required during launch period)
Responsibilities and duties
1. Corporate Administration & General Affairs
- Banking procedures, account management, and liaison with financial institutions
- Document preparation, filing, and correspondence (government, regulatory, corporate)
- Bookkeeping support and coordination with external accountants
- General affairs including office/store administration and vendor management
- HR & recruitment support: work pass applications, employee onboarding, payroll coordination
- Compliance with Singapore regulatory requirements (MOM, IRAS, ACRA, etc.)
2. Executive Assistant & On-Site - Operations Support
- Bilingual communication support between Japanese executives and local stakeholders (staff, vendors, government agencies) - this role requires Japanese proficiency as it involves daily translation, interpretation, and reporting to Japan headquarters
- On-site support during restaurant setup, launch preparation, and daily operations
- Ad-hoc operational tasks to support the Singapore market entry
- Coordination and reporting with Japan HQ
Qualification and Requirements
Must-Have:
- Proficiency in both English and Japanese (spoken and written) - required for daily translation/interpretation between Japanese headquarters and local stakeholders including staff, vendors, and government bodies
- Strong communication skills - ability to collaborate effectively with diverse stakeholders including Japanese executives, local team members, external vendors, and regulatory bodies
- A hands-on, adaptable mindset - willingness to work on-site (including at the restaurant) and take on a broad range of tasks in a start-up environment
Nice-to-Have:
- Experience in administration, general affairs, executive assistant, or similar back-office roles
- Experience in the F&B or hospitality industry
- Knowledge of Singapore corporate compliance (MOM, IRAS, ACRA)
- Basic accounting or bookkeeping knowledge
- Experience working with Japanese companies or in a cross-cultural environment
- JLPT N1 or N2 certification
- Interest in Japanese food culture and the restaurant industry
