The Fund Administrative Executive is a critical role within our operations team, responsible for providing comprehensive administrative and operational support for a portfolio of assigned funds. The ideal candidate will be detail-oriented, numerically proficient, and possess a strong understanding of fund structures and financial instruments. You will be the primary point of contact for day-to-day operational matters, ensuring the accurate and timely delivery of services to our clients.
Key Responsibilities
1. Fund Accounting and Valuation:
- Assist in the calculation of Net Asset Value (NAV) for funds on a daily, weekly, or monthly basis.
- Process and reconcile corporate actions, including dividends, splits, and mergers.
- Reconcile cash and securities positions with prime brokers, custodians, and administrators.
- Monitor and process capital activities such as capital calls, distributions, and transfers.
- Maintain the general ledger and prepare supporting workpapers for financial statements.
2. Investor Services:
- Process investor subscriptions, redemptions, and transfers accurately and in a timely manner.
- Maintain and update the investor database.
- Assist in the preparation of investor statements and capital account statements.
- Support the client onboarding process, including KYC/AML documentation checks.
3. Financial Reporting and Compliance:
- Assist in the preparation of periodic financial statements and reports for clients and regulators.
- Support the year-end audit process by preparing schedules and liaising with external auditors.
- Help ensure compliance with fund offering documents, policies, and relevant regulations (e.g., MAS guidelines, SFDR, FATCA/CRS).
- Prepare and file regulatory returns as required.
4. Client and Stakeholder Communication:
- Serve as a reliable point of contact for day-to-day operational queries from fund managers and investors.
- Build and maintain strong professional relationships with brokers, custodians, auditors, and other third-party service providers.
- Communicate effectively with internal teams, including senior management and the compliance department.
5. Process Improvement:
- Identify opportunities to streamline operational processes and enhance efficiency.
- Participate in ad-hoc projects, such as system implementations or the onboarding of new funds.

- Must be willing to travel to client offices for administrative duties
Qualifications and Experience
- Education: Diploma or Bachelor's degree in Finance, Accounting, Business Administration, or a related field.
- Experience: Minimum of 1-3 years of relevant experience in fund administration, hedge fund operations, or a similar role within the financial services industry. Fresh graduates with relevant internships may be considered.
- Technical Knowledge:
Solid understanding of financial instruments (equities, bonds, derivatives, etc.).
Familiarity with fund structures (e.g., Open-ended, Closed-ended, VCC) is highly advantageous.
Basic knowledge of accounting principles and the NAV calculation process.
Understanding of KYC/AML requirements is a plus. - Systems Proficiency:
Proficiency in Microsoft Office Suite, with advanced skills in Excel (PivotTables, VLOOKUPs, etc.).
Experience with fund administration software (e.g., Paxus, FIS Global Access, eFront, Allvue) is a significant advantage.
