Freight Forwarding Operations Executive (Air & Ocean Import/Export)

About the Role

We are looking for a Freight Forwarding Operations Executive to manage air or ocean import/export shipments. This role is responsible for coordinating shipments, preparing shipping documentation, liaising with customers and overseas partners, and ensuring compliance with customs and regulatory requirements.

The ideal candidate has strong operational knowledge of freight forwarding and is comfortable handling shipments from booking to final delivery across either air or ocean modes.

Key Responsibilities

Air Import Operations

. Process air import shipment documentation and operational requirements.

. Coordinate with Singapore Customs and relevant authorities for import clearance.

. Prepare and submit import permit declarations where required.

. Communicate with customers regarding shipment arrival, duties/GST, HS code requirements, and delivery schedules.

. Liaise with warehouse and transport vendors to arrange cargo clearance and delivery.

Air Export Operations

. Manage export shipment bookings and coordinate with airlines and overseas agents.

. Process export documentation and ensure accurate data entry in operational systems.

. Arrange cargo collection and transport with appointed vendors.

. Provide flight details and shipment updates to customers and overseas offices.

Ocean Import Operations

. Handle operational processing of sea import shipments from documentation to cargo release.

. Prepare and verify import documents prior to vessel arrival.

. Coordinate with carriers, co-loaders, shipping agents and customers to facilitate shipment clearance and delivery.

. Monitor shipment status and ensure timely release of cargo.

Ocean Export Operations

. Handle export shipment documentation including Bills of Lading, manifests and pre-alerts.

. Process customs declarations.

. Coordinate bookings with shipping lines and monitor vessel schedules.

. Ensure timely submission of required documentation and manifest to carriers.

. Ensure compliance with regulatory filings such as AMS, ENS, ISF or AED where applicable.

General Operations Duties

. Maintain accurate shipment records and documentation in internal systems.

. Liaise with customers, overseas offices, subcontractors and service providers to ensure smooth shipment execution.

. Provide timely shipment updates and maintain good customer service standards.

. Resolve shipment issues, discrepancies or customer enquiries where required.

. Perform other operational duties assigned by the company.

Job Requirements

. Diploma or equivalent qualification in Logistics, Supply Chain, Transportation or related field.

. At least 3 years of relevant experience in freight forwarding operations.

. Experience in Air Freight or Ocean Freight Import/Export operations preferred.

. Familiarity with Singapore Customs procedures is an advantage.

. Knowledge of freight forwarding systems will be beneficial.

. Proficient in Microsoft Office applications.

. Good communication and coordination skills.

. Able to work in a fast-paced operational environment.
