We are looking for Singapore-based candidates to join a foundation focused on promoting patient-centric research and increasing Asian representation in biomedical research. The Foundation Operations / Administration Manager is responsible for overseeing and streamlining the daily operations, administrative functions, and governance support systems of the foundation. This role ensures efficient organizational workflows, compliance with policies and regulations, and strong support for board activities and internal processes.
Key responsibilities include:
Administrative Operations:
- Manage day-to-day administrative tasks and office functions to support the foundation's activities in Singapore
- Maintain accurate records, databases, and documentation (e.g. donor records, grant files, contracts)
- Supervise administrative staff
- Develop and implement internal systems and procedures to improve operational efficiency
Board and Governance Support:
- Coordinate meetings with Donation Recipients including scheduling, agenda preparation, minute-taking, and distribution of materials
- Maintain governance documents and ensure compliance with bylaws and policies
- Serve as liaison between the foundation's management and board members
- Follow up with Donation Recipients on the process of the Research
Financial and Compliance Support:
- Assist with budgeting processes, financial reporting, and expense tracking in collaboration with finance staff
- Ensure timely submission of compliance reports, filings, and renewals (e.g. IRAS, regulatory filings, charitable registrations)
- Support audit and risk management processes
Vendor and Contract Management:
- Manage relationships with vendors and service providers
- Oversee contract preparation and ensure appropriate approvals and documentation.
Qualifications:
- Degree in Business Administration, Nonprofit Management, or related field
- 4+ years of experience in administrative, operations, or nonprofit management roles
- Strong organizational, communication, and project management skills
- Familiarity with nonprofit governance, compliance, and financial principles
- High level of discretion and professionalism
- Preferred: Prior experience in healthcare or understanding of Singapore's public health system / Background in life sciences, biomedical research or related field
